Our Firm, which is consistently ranked by Crain's as one of New York's Best Places to Work, is seeking an assistant to support our attorneys with their day-to-day administrative needs. The ideal candidate will have previous experience working in law firms and a demonstrated proficiency using our Firm's applications. This position will report to the assigned attorneys and Human Resources. PRIMARY JOB FUNCTIONS Provide administrative support to assigned attorneys. Maintain attorneys' calendar for meetings, conferences, travel, and other events (domestic and international). Assist with booking domestic and international travel arrangement. Prepare agendas and schedules for all applicable activities and events. Responsible for document production, edits, electronic signatures, and filing (electric and hard copies). Enter time in billing system and send invoices to clients. Prepare attorney expense reports and process client-related invoices for payment in a timely manner. Interact with clients by phone, in-person, or by e-mail. Greet clients and guests. Respond and follow up on client requests in a timely manner. Assist attorneys with any applicable registrations as requested. Prepare client engagement and retainer agreements. Perform other related duties as assigned. SPECIFIC SKILLS, KNOWLEDGE AND ABILITIES REQUIRED Strong analytical and critical thinking skills. Ability to communicate and interact with attorneys, clients, and staff at all levels. Excellent time management and organizational skill with attention to details. Ability to plan and manage work under time constraints and high-pressure situations. Excellent verbal/written communication skills. Able to work independently and follow confidentiality protocols. EDUCATION AND EXPERIENCE Bachelor's degree required. Minimum of 5 years of experience working in law firms. Must be proficient with MS Word, Excel and Outlook. Aderant (billing) and ChromeRiver (expenses) are a plus.
