POSITION SUMMARY

To provide superior quality, competitive value and outstanding service by assuming responsibility for the overall patient experience as it relates to the business front office operations. This position is responsible for overall supervision of resources available to the patient services department.

GENERAL EDUCATION REQUIREMENTS

Associates Degree required or a minimum of 5 years' experience in a healthcare setting. Supervisory experienced id preferred.

ADDITIONAL QUALIFICATIONS

* Customer service and/or medical front office experience

* Supervisory experience. Ability to assume leadership and inspire others

* Good interpersonal, communication and organizational skills

* Typing requirement of 40 words per minute

* Ability to multi-task

* Ability to read and write at high school level

* Ability to use or operate computer, copy machine, typewriter, and fax machine

* Ability to maintain confidentiality at all times and follow Brevard Health Alliance's confidentiality guidelines

* Ability to use Microsoft applications.

* Ability to compute basic financial transactions

* Ability to speak and understand at least the English language to effectively communicate with our patient population

* Knowledge of medical terminology is preferred

* Ability to work well in a team environment, remains motivated, is self-directed, and demonstrates initiative

PRIMARY ACCOUNTABILITIES

* Maintains general administrative responsibility pertaining to one or more departments within a BHA clinic; including but not limited to: time cards, ordering, staff accountabilities, assistance with employee relations and reviews, assistance with staffing, etc.

* Assists with the supervision and completion of new associate orientation and training

* Assists with supervising and coordinates the work of the front office team, providing support as needed

* Demonstrates the ability to manage complex patients and associates

* Determines insurance eligibility, and ensures all information is entered accurately and in a timely manner

* Conducts weekly checks of the cash register, weekly checks of the encounters and daily cash intake

* Assists with making bank deposits as needed

* Supervises and tracks accounts that are delinquent

* Orders and maintains an adequate amount of office supplies; maintains documentation of service

on office equipment and reports all malfunctions of equipment to the appropriate manager

* Assists with and coordinates weekly, monthly and quarterly checks and inspections, i.e.: fire

drills, safety checks, etc.

* Perform other related duties as assigned

* Takes ownership and represents Brevard Health Alliance's mission and organizational goals

established by the executive committee. These include, but are not limited to: Productivity, Quality,

Patient Satisfaction, and Employee Retention. It is the duty of each BHA employee to incorporate

these goals into all daily work routines, and strive to achieve and surpass all goals by working as a

team. The mission and goals of BHA will be incorporated into each associate's Key Performance

Indicators and will be evaluated on a monthly and quarterly basis.

General Reception Duties

* Greet and assist patients in a timely, professional and courteous manner with a willing and helpful attitude, ascertain purpose of visit, and direct them to appropriate staff if necessary

* Answer telephones properly, courteously and tactfully dealing with the public, physicians, and outside businesses. Takes complete and accurate messages for area personnel not available

* Documents calls, if necessary, in patient file. Respond to phone messages in a timely manner

* Schedules patient appointments in the electronic medical record system (EMR)

* Effectively deals with complaints

General Clerical Duties

* Assist with area clerical duties such as typing, photocopying, filing, scanning and faxing documents, medical records, reports and other materials

* Order and maintain adequate amount of office supplies; maintain documentation of service/repair on office equipment and reports all malfunctions of equipment

* Responsible for filing, retrieving materials from existing files, and creating new files when appropriate

* Maintain patient flow by checking in patient in a timely manner; verify address and phone number is current in the electronic medical record (EMR); ensures patient picture is in the EMR and updated

* Maintains cash drawer and reconcile daily payments posted to patient accounts

* Assists with maintaining a clean work area

* Ensures front door is unlocked/locked at the beginning and end of each day

* Performs other duties as assigned

SUPERVISORY RESPONSIBLITIES

* Assists with the completion of Annual Reviews and submit to Human Resources within 30 days of Associate's annual anniversary

* Assists with 90 Day Reviews and submits to HR within 1 day of Associate review date

* Ensures adherence to Positive Discipline Corrective Action policy with appropriate supporting documentation submitted to HR

* Perform, maintain and track Key Performance Indicators and report to Business Manager

* Perform other related duties as assigned
