Hourly Range: $24-28/hour

Position Summary

The Assistant Registrar provides essential support to the Office of the Registrar by undertaking a range of administrative responsibilities. The key priorities include the management and coordination of the ExamSoft program used for exams, linking, and maintaining official academic records, assisting in student registration and enrollment, and all other duties as assigned.

Key Duties and Responsibilities:

Management of both Residential and OHJD exams through ExamSoft program include:

  • Coordinate with OHJD Program Coordinator and faculty on exam submission, exam entry, monitoring support, and exam day proctoring, and technical issues.
  • Coordinate with residential staff and faculty for exam submission, entry, posting, exam day proctoring, and technical issues.
  • Communicate with both residential and OHJD students about exam registration, exam availability, technical issues, and accommodations.
  • Distribute results of exam monitoring program to administrative support.
  • Train residential and OHJD staff and faculty on ExamSoft program as well as distribute updates in the program technology.

Other responsibilities include:

  • Linking student files in Aces, Jenzabar, ImageNow, and Salesforce.
  • Manage official and unofficial transcript requests .
  • Top Academic Student Award notifications.
  • Assist with commencement preparation and assist in student line up morning of commencement.
  • Organize letters of good standing, ski letters, registration assistance, and grade entry assistance.
  • Verification of enrollments and degrees to 3rd parties.
  • Other office tasks such as answering phones, ordering office supplies, collecting mail, processing verification requests, assisting students, faculty, and staff.
  • All other miscellaneous job-related duties as assigned.
Requirements:

Required Education, Skills, and Experience:

  • Bachelor's Degree in an appropriate discipline, or a combination of education and experience from which comparable knowledge and skills are acquired.
  • Public speaking experience.
  • Understanding of, appreciation for, and commitment to inclusion, including the ability to work with students, faculty, and staff from diverse backgrounds, identities, and viewpoints.
  • Good organizational & administration skills with a special focus on attention to detail and accuracy.
  • Proficient reading, math and analytical/problem solving skills.
  • Experience maintaining complex computerized records systems and email.
  • Proficiency in Microsoft Office Suite, including Outlook, Office Suite, Excel, Microsoft Teams, Adobe PDF, and significant experience with ERP or SIS systems.
  • Must be able to adapt to new and emerging technology as established and communicated by the law school.
  • Familiarity with higher education organization and academic policies.
  • Ability to deal effectively with a wide variety of individuals within and outside of Vermont Law and Graduate School.
  • Knowledge of FERPA and institutional compliance regulations.
  • Ability to work on multiple projects at any given time; work well under pressure and with deadlines.
  • Ability to develop and maintain recordkeeping systems and procedures.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to gather data, compile information, and prepare reports.
  • Ability to communicate effectively and fluently in English, both orally and in writing.
  • Ability to use independent judgment and to manage and impart confidential information.
  • Ability to interpret, adapt and apply the rules, regulations, and laws regarding student records, FRPA laws and confidentiality practices and processes. Ability to maintain confidentiality of records and information.

Other Requirements:

  • 95% computer-related work.
  • Some weekend and night work is required for exam day proctoring and commencement.
  • Primary work is done sitting and/or standing at a desk; Repetitive motion (keyboard, mouse, etc.).
  • Ability to use a telephone and computer and be present on-campus for student interactions.
  • Ability to perform all essential functions of the job with or without basic accommodations.
  • Ability to work independently and within a team.
  • Must be able to work legally within the United States without sponsorship.
