Job Summary

This position is responsible for supporting and assisting with the management of student records. This role is active in updating Registrar web pages, forms, and overseeing the Academic Catalog.

Minimum Hourly Rate: $23.89/ hr

Responsibilities

Assists in the development and maintenance of Registrar web pages, forms, course schedules, catalogs, policies and procedures. (20%)

* Updates Registrar web pages on the college website.

* Updates and creates Registrar dynamic forms.

* Creates and edits and prepares college catalog for publishing.

* Assists with the coordination of the class schedule process with academic departments and ensures classes are assigned classrooms each term.

* Assists in building and maintaining courses (DSC/ecampus).

* Ensures policies and procedures are upheld related to student records.

Reviews and evaluates transfer credits. (20%)

* Evaluates transfer student college transcripts.

* Ensures compliance with transfer articulation agreements.

* Maintains transfer equivalency database.

* Maintains GACHECS (GAFutures)

* Maintains GATRACS

Graduation Applications and ceremony (20%)

* Processes graduation applications and performs degreeworks audits.

* Communicates with students and advisors to solve graduation issues.

* Coordinates preparations for graduation ceremonies.

Maintains and updates student records. (15%)

* Processes course substitutions and exceptions.

* Applies credit by exam ie. AP, IB, and CLEP, PLA to student records.

* Applies grade changes.

* Approves and applies Academic Renewals.

Performs a variety of related duties. (20%)

* Assists with classroom assignments using Ad Astra scheduling software.

* Verifies athletic eligibility, working with Athletic Faculty representative.

* Replies to emails.

Performs beginning/mid and end-of-term duties. (5%)

* Assists with error corrections to University System data warehouse submissions.

* Assists with the submission of enrollment and degree reports to the National Student Clearinghouse and aid with error corrections.

Required Qualifications

* Baccalaureate degree in a course of study related to the occupational field required, or an equivalent combination of education and/or work experience.

* More than two years of related experience required.

Knowledge, Skills, & Abilities

* Knowledge of Dalton State College and University System of Georgia policies and procedures.

* Knowledge of related federal policies and related procedures of regulations and laws.

* Knowledge of Customer Relations Management (CRM) student management software system.

* Knowledge of FERPA.

* Knowledge of Athletic eligibility rules and regulations.

* Knowledge of student records management principles.

* Knowledge of college registration processes.

* Knowledge of academic grading and transcripts.

* Knowledge of data analysis and reporting.

* Skill in the operation of computers and job-related software programs.

* Skill in decision making and problem solving.

* Skill in interpersonal relations and in dealing with the public.

* Skill in oral and written communication.
