GENERAL DESCRIPTION:
Responsible for the maintenance of student records ensuring accuracy, integrity and confidentiality of information. Monitors, adds, drops, and withdrawals and the issuing of student transcripts and other student information. Oversees and processes the transfer credit evaluation process. Assists with front desk coverage as needed.
DUTIES:
* Evaluates incoming student transcripts and responsible for posting of transfer credit evaluations from students' college transcripts, CLEP, Dantes, advance placement scores, military and other nontraditional credits from JST transcripts, as well as prior learning credit, once approved.
* Processes outgoing transcript requests.
* Maintains and uploads North Central transfer equivalencies to the Michigan Transfer Network.
* Provides enrollment verification information, as requested.
* Updates student information system and student application systems for student address changes, name changes, etc. and verification of student residency.
* Assists in routine and ongoing registration functions (including but not limited to enrollment, change of schedule and withdrawals), supporting student, faculty and administrators in resolving registration questions.
* Generates reports to validate accuracy of prerequisites.
* Develops and maintains Advising Module requirements including yearly update of all Institutional Program requirements in Jenzabar.
* Develops and runs reports through Jenzabar software (Infomaker), as needed
* Processes Graduation Applications, including producing preliminary degree audits for registrar pre-approval. Maintain all follow up communication with graduates.
* Generates graduation, MACRAO/MTA audits, as requested by students.
* Updates college electronic catalog, attend college curriculum review committee as non-voting member.
* Assists with organizing graduation rehearsal and ceremony, Gradfest, and related duties, including preparing and submitting student regalia and diploma cover orders, distributing student regalia, preparing and submitting student diploma orders, and distributing diplomas.
* Assists with front desk coverage and walk-in traffic, as needed.
* Manages website 'contact us' submissions including answering questions or distributing questions to others to answer.
* Partners with Information Technology to resolve Student Information System (SIS) issues related to system upgrades, enhancements and troubleshooting.
* Serves as a resource to the college community regarding the SIS.
* Completes enrollment of Michigan Colleges Online (MCO) students as well as schedule uploads and MCO catalog updates.
* Responds to calls and walk-in inquiries from students, faculty and staff concerning college policies and procedures relating to records, registration, scheduling, and other matters.
* Updates individual student degree audits to include substitutions and waivers.
* Maintains confidentiality of student records and other material as outlined by the Family Educational Rights and Privacy Act.
* Assists with organizing and maintaining all student records in the document retention system.
* Embraces teamwork by effectively working with other campus community members as needed, to satisfy needs of stakeholders.
* Performs other related duties as assigned.
Requirements:
MINIMUM QUALIFICATIONS:
* Associates degree required along with 3-5 years of experience in a community college or bachelor's degree in related field and equivalent experience.
* Experience with Student Information Systems and/or other customer based relational database systems. Ability to use query tools to create and customize reporting.
* Strong interpersonal skills and commitment to teamwork.
* Ability to communicate effectively in an educational setting.
* Ability to prioritize work responsibilities and adapt to changing duties.
