The Assistant Service Manager is responsible for assisting the Service Manager with the operation of the Service Department within the dealership to maximize return on investment. This is accomplished by optimizing company processes and resources to ensure internal and external customer satisfaction. Grows profitable service labor sales and exercises disciplined expense control. Attracts, retains, and effectively engages department personnel. These descriptions are not limited to the lawn and garden service department and include the service department as a whole.

Essential Job Functions:

* Assist with managing the department's expenses.

* Develop, communicate, execute and monitor effective department processes to ensure internal and external customer satisfaction.

* Assist in creating annual department budget in alignment with the organization's financial and operational objectives.

* Assist in developing and executing department plans and continuously monitor the monthly results to ensure we are achieving the departmental goals.

* Assist with all customer clinics, field days, and any related promotional events.

* Submit all service warranty and Product Improvement Program claims within the required timeframe to receive maximum credit.

* Schedule and assign jobs and work areas to department employees according to their experience, knowledge and skills.

* Schedule internal and external pickup and deliveries.

* Review work orders for completeness and accuracy prior to customer billing.

* Ensure all departmental tools, equipment, and vehicles are in good working order.

* Participate in all department and location meetings.

* Review Customer Service Satisfaction Surveys and take appropriate action when needed.

* Manage and follow up on employee development activities.

* Works with employees to provide a safe and productive work environment and actively advocate safety.

* Monitor and implement processes to improve workflow and communication between departments and facilitate teamwork within all our departments and locations.

* Manage direct reports with precision and clarity by planning and assigning work and clearly communicating expectations and following up on results to ensure we are accomplishing the company's objectives.

* Ensure growth opportunities by recognizing and obtaining appropriate approvals promoting proficient, qualified and skilled employees.

* Communicate goals, provides resources and direction, and ensures goals are met.

* Coach, advise and develop employees by utilizing training tools and executing learning paths.

* Responsible for counseling and disciplining employees and ensuring the required documentation is maintained.

* Responsible for reviewing, discussing and completing performance reviews with employees in a timely manner.

* Follow all safety rules, policies and regulations and keep your workplace clean, orderly and free of hazards.

* All other duties as assigned.

Education, Experience, Skills Knowledge and Competencies:

* High School Diploma or Equivalent.

* 3+ years' experience in Service Department operations.

* Knowledge or ability to learn Service specific technology.

* Familiar with John Deere and competitive products.

* Basic understanding of financial principles relative to Service Department operations.

* Knowledge of standard desktop and software applications such as Microsoft, Word, Excel, Outlook, e-mail and internet functions and ability to learn the required business system computer software and programs necessary for this position.

* Conduct business in alignment with the company's Mission, Vision and Core Values.

* Plans out work schedules, establishes priorities, forecasts resource requirements, anticipates change and measures results.

* Sets team structure, organizes, leads and facilities team activities, promotes team cooperation and encourages participation.

* Coaches, trains, and develops employees, gives positive and negative performance feedback that is timely and direct, prompt in addressing disciplinary problems, communicates performance standards and expectations and encourages personal growth and learning.

* Formulates objectives and priorities, implements plans consistent with the long-term interests of the organization, capitalizes on opportunities and manages risks.

* Takes a long-term view and builds shared vision with others, acts as a catalyst for organizational change and influences others to translate vision into action.

* Holds self and others accountable for measurable high-quality, timely and cost-effective results, determines objectives, sets priorities, delegates work, accepts responsibility for mistakes and complies with established control systems and rules.

Physical Demands, Work Environment and Travel:

* Ability to sit at a desk and work on a computer for prolonged periods of time.

* Ability to lift up to 50 pounds.

* Ability to sit, stand, walk, climb, bend, reach, push, pull, lean, twist, and drive.

* Most duties are performed in both an office and shop environment.

* Office environments are typically climate-controlled office environments.

* Shop environments may expose you to hot or cold weather conditions.

* Travel may be required.
