The position requires excellent communication and interpersonal skills and the ability to provide information and service to internal and external constituents. This individual must possess exceptional organizational skills and a professional demeanor, display independent decision-making skills, exhibit proficiency in the latest technology, and maintain the Chancellor's trust on discretionary matters. This position is governed by state and federal laws and agency/institution policy. Examples of Duties The Executive Assistant to the Chancellor serves as the principle administrative contact for the Chancellor with all College constituents, both internal and external, including media and government officials. This individual must be able to manage multiple, high-level tasks with competing deadlines. The following outlines some of the primary responsibilities of the position:
- Responsible for the day-to-day operations of the Chancellor's office.
- Administers the Chancellor's calendar to ensure optimal time allowed with college stakeholders.
- Make travel arrangements for the Chancellor, including providing an itinerary, hotel information, transportation, post-trip reports such as expense reports, and other travel related logistics.
- Performs administrative support tasks which may be sensitive, privileged and highly confidential, either independently or as directed.
- Purchases and maintains inventory of supplies for the office.
- Recording and preparing minutes for meetings as assigned by the Chancellor.
- Receiving and directing daily incoming mail including sorting and distributing mail and delivery of daily outgoing mail as pertains to the Chancellor's Office.
- Manage the Chancellor's budget including tracking expenditures, reconciling statements, and providing financial reports. Proposes the annual expenditure budget for the Chancellor's Office.
- Gathers and analyzes information required for administrative reporting, and provides research and analysis to prepare briefing materials, agendas, and presentations.
- Performs related responsibilities as required or assigned.
Minimum/Preferred Qualifications EDUCATION AND EXPERIENCE:
- Bachelor's degree preferred although exceptional experience may be considered.
- Candidates with experience as an executive assistant or equivalent will receive priority consideration.
- Experience working in higher education is preferred.
