Description

Summary/Objective: to support the Vice President for Finance and Administration (VPFA) and the departments that come under the supervision of the VPFA.

Duties and Responsibilities

Administrative

* Maintain the VPFA's calendar and phone communication including the prioritizing and scheduling of appointments with internal and external individuals.

* Supports the communication and arrangement of Finance meetings including meeting invites, tracking attendance, collation and distribution of meetings materials, and meeting logistics.? Take minutes at meetings and finalize meetings for distribution and filing.

* Serve as liaison with faculty, staff, Trustees, vendors, financial institutions, and/or other key internal and external constituencies.

* Proofread documents and assist with creating materials, responses, correspondences, and other forms of communication for the Division.

* Performs general clerical duties to include, but not limited to: transcribing dictation, scanning, copying, faxing, filing, data entry, managing office mail, and ordering office supplies.

* Coordinate, prepare, process and/or monitor a variety of forms, records, schedules, reports, and other documents related to assigned administrative function, ensuring timely and accurate completion/review of documents by department/university personnel and/or other individuals outside the university.?

* Manage and maintain files and records including, but not limited to: ?insurance, leases, fixed assets, grants, rentals, bonds, closing statements, contracts and other agreements.

* Coordinates and books travel in adherence to University policies.? Coordination of activities includes travel authorization, flight tickets, hotel bookings, conference registration, expense reports, etc.

Professional

* Completes various forms including purchase requisitions, expense reports, and external agreements.

* Interpret standard policies and procedures to staff, process special requests, investigate and resolve problems, and refer staff as necessary to the Vice President for appropriate action.

* Assist VPFA in annual budgeting, quarterly projections, administration of financial plans, and audit to correct and identify differences.

* Review and prepare financial reports and account budgets for accuracy and completion.

* Assist the VPFA in preparing, reviewing, and distributing monthly, quarterly, semi-annual, and annual financial reports.

* Assist in preparation of numerous statistical trends and predictions to include conducting research, compiling, and analyzing data from different sources.

* Undertake specials assignments and projects on a wide variety of issues as requested by the VPFA.

* Audit accounts and operational records to confirm the accuracy of the information and analyze supporting documents to establish the completion with contracts, agreements, and applicable federal regulations.

* Secure timely payments of loans, leases, payables, and other financial obligations.

* Transact with students, faculty, and staff in support of departments across the Division.

Typical Qualifications

* Bachelor's degree in finance, business, or related

* Minimum of three years experience in finance or related field

* Must take initiative to solve problems and meet deadlines

* Have the ability to give accurate reports and data promptly
