Associate Director Admissions Operations and AnalyticsJohns Hopkins Carey Business School Office of Admissions is seeking an analytical, tech savvy professional for the position of Associate Director Admissions Operations andAnalytics. This position is responsible for day-to-day oversight of admissions operations as well as general reporting and analytics to optimize admissions processes. The Associate Director manages a team of full-time professionals and part-time graduate assistants who process admission applications and documents, ensure document and data integrity, provide applicant solutions, and are required to be knowledgeable about a complex set of policies and procedures for domestic and international applicants to a broad portfolio of full-time and part-time/online graduate business programs.Reporting to the Assistant Dean, Recruitment and Admissions, the Associate Director is the office's senior Slate administrator, primary liaison with the central University Information Systems (UIS) team, and primary technical liaison with all Admissions vendors. They are also a member of the Admissions Leadership Team, which provides office leadership and sets strategic direction in support of meeting annually established enrollment goals. The position is hybrid and expected on-site in Baltimore, MD office 3 days per week.Specific Duties & ResponsibilitiesTechnology Management, Strategy, and Reporting
  • Provide business direction to develop efficient, accurate, and reliable workflow and systems through all Admissions-related technology interfaces, including but not limited to: Slate, University Student Information Systems (SIS), BusinessCAS, electronic document management systems, and other third-party systems.
  • Evolve business process workflow for efficient application processing and decision release for 3 admission cycles annually.
  • In consultation with the director of enrollment management, update application statuses appropriately throughout the year and manage related e-mail/SMS updates to applicants as needed.
  • Collaborate with the Office of Marketing and Communications on Slate queries and set-up to ensure appropriate delivery of e-mail, SMS, direct mail, and any other marketing initiatives.
  • Collaborate with directors of recruitment and internal Office of Software and Reporting Services on reporting, queries, and internal portals needed to execute against lead management strategy.
  • Ensure Admissions is using the most efficient and reliable business processes, configurations, system features, and implementations.
  • Monitor APIs between Slate and multiple third-party systems to ensure data movement and integrity.
  • Take a lead role in identifying priorities, annual updates, and improvements to all technological systems and procedures. Work as primary liaison with University Information Systems (UIS) for annual Slate Cycle Prep process.
  • Serve as primary Admissions liaison to University Information Systems (UIS) and collaborate to address system issues.
  • Serve as primary technical liaison to third-party vendors engaged by Admissions.
  • Serve as primary technical liaison to other Carey Business School units and to divisions across the university when needed to facilitate proper setup and processes for data movement.
  • Document processes and policies.Leadership
    • As a member of the Admissions Leadership Team, help set culture and strategic direction for Office of Admissions in support of meeting annually established enrollment goals.
    • Advise Assistant Dean on decisions regarding the Admissions technology stack and resources necessary to better adhere to institutional standards, optimize resources, and meet enrollment goals.
    • Supervise and provide vision to Admissions Operations team. Currently two full-time, non-exempt direct reports and up to three part-time graduate assistants.
    • Provide training and professional development opportunities to create a high-performing and customer service driven Operations team.
    • Provide clear direction for staff and manage employee workloads daily to meet internal deadlines and ensure timely communication with applicants.
    • Ensure access to CRM training/documentation for new Admissions staff and coordinate ongoing training for existing staff to keep knowledge current.
    • Serve on the university-wide Slate User Group and other Carey and/or university-wide committees as needed.
    • Handle student needs that require escalation and provide back-up on primary needs during peak periods, as necessary.
    • Maintain thorough and up-to-date knowledge of existing and emerging admissions systems and best practices in graduate admissions/graduate management admissions.Special Knowledge, Skills, and Abilities
      • Knowledgeable of information technology and computing applications, preferably as implemented in higher education.
      • Proven ability to manage confidentiality and security of student information and records or other protected information.
      • Excellent interpersonal, writing, and verbal communication skills.
      • Ability to independently analyze and resolve complex problems.
      • Strong leadership skills to supervise and motivate staff. Must work effectively in a team environment.
      • Advanced Excel and data analysis skills. Experience with data visualization software such as Power BI or Tableau preferred.
      • Ability to manage multiple priorities to deadline.
      • Familiarity with international student records and procedures.Minimum Qualifications
        • Bachelor's Degree.
        • Five years progressively responsible related experience.
        • Additional education may substitute for experience to the extent permitted by the JHU equivalency formula.Preferred Qualifications
          • Master's Degree from a regionally accredited college or university strongly preferred.
          • Demonstrated knowledge of admissions office operational functions and customer relationship management (CRM) software very strongly preferred.
          • Supervisory experience strongly preferred.
          • Experience with Slate strongly preferred.

Not all candidates will be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, education/training and other qualifications.
