You will be responsible for performing essential warehouse duties, distribution tasks, and record maintenance, all while delivering exceptional customer service in a fast-paced environment. You'll handle the transport and delivery of equipment, supplies, and materials using County vehicles, and ensure stock levels are efficiently maintained.In this role you will also work at the parts counter, assist mechanics with their parts needs, and collaborate with all divisions to address their order and supply requirements. This position is part of the Logistics Coordinator progression series, which includes Associate Logistics Coordinator, Logistics Coordinator, and Senior Logistics Coordinator. An employee is eligible to advance to the next position within the series when the employee has met the criteria for advancement as notated within the job description and has received a recommendation from the Hiring Authority. Essential Duties/Responsibilities
  • Performs daily material handling processes and controls for department-wide receiving and distribution; utilizes a County vehicle to pick up, transport, and deliver equipment, parts, materials, and supplies.
  • Receives, stocks, maintains, and organizes supplies throughout various locations, such as buildings, warehouses, distribution centers, and yards; ensures appropriate stocking levels of various materials. Operates forklifts, pallet jacks, and other warehouse equipment.
  • Performs large and small-scale physical cycle counts while ensuring accuracy.
  • Orders parts and supplies as directed; issues parts and supplies.
  • Performs data entry and maintains accurate records. Creates purchase orders in finance management software with direct oversight.
  • Provides excellent customer service in a fast-paced environment while maintaining attention to detail and accuracy in work.
  • Performs administrative duties, including scanning and tracking.
  • Maintains safe, clean, and organized facility/work areas; complies with safety and security regulations regarding handling of equipment, parts, supplies, and materials. Maintains general equipment safety procedures and repairs.
  • Contributes to team effort by helping to achieve departmental goals.
  • As directed, assists with weather-related duties, such as snow removal.
  • Performs other duties as required.
Logistics Coordinator:
  • Processes purchase orders and verifies receipts and pricing; ensures compliance with contract and procurement policies and procedures.
  • Schedules, participates in, and performs large and small-scale physical cycle counts.
  • Performs administrative duties, including scanning, tracking, and verifying accuracy of financial data. Maintains accurate records of resource management orders, supplies, and files.

Senior Logistics Coordinator:
  • Responsible for daily material handling processes and controls for department-wide receiving and distribution; utilizes a County vehicle to pickup, transport, and deliver equipment, parts, materials, and supplies.
  • Responsible for contract pricing, and ensuring terms and conditions are met for purchases.
  • Analyzes data and verifies accurate information is processed for journal entries in asset databases, including work orders, job numbers, pricing, and contract terms.
  • Responsible for overseeing and tracking internal daily material/supply usage reports, ensuring compliance with contract and procurement policies and procedures.
  • Responsible for purchasing, tracking, researching, and verifying receipts of goods against purchase orders and invoices, including matching purchase orders and contract information; makes necessary corrections.
  • Processes vendor set-up requests for the accounting system, maintains vendor files, and provides vendors with updates and information.
  • Schedules, participates in, and performs large and small-scale physical cycle counts.
  • Purchases and orders parts, supplies, and materials and issues to work orders and employees; researches requested parts and identifies alternatives as needed. Completes parts and materials returns, transfers, and inventory updates.
  • Responds to requests for services; ensures timely follow-up with vendors regarding service requests. Interacts with staff and vendors to provide services and resolve problems; explains policies, procedures, and practices.
  • Enters data and transactions in inventory management and accounting systems; ensures accuracy of system databases. Diagnoses system data errors and omissions; performs corrections.
  • Performs accounting and administrative duties, including statement reconciliation, scanning, tracking, and verifying accuracy of financial data. Maintains accurate records of resource management orders, supplies, and files.
  • Provides training and guidance to staff on procurement and logistics.
  • Assists with special projects.
Supervision Exercised: This classification does not have supervisory authority and requires no supervision or direction of others.Supervision Received: Receives intermittent supervision. This classification normally performs the job by following established standard operating procedures and/or policies. Regular direction, guidance, and coaching from supervisor is expected. There is a choice of the appropriate procedure or policy to apply to duties. Performance reviewed periodically. QualificationsKnowledge, Skills & Abilities
  • Knowledge of equipment, parts, materials, and supplies preferred.
  • Basic knowledge of inventory processes and cycle counts preferred.
  • Working knowledge of Microsoft Office, including Word, Excel, and Outlook.
  • Strong organizational and time management skills with attention to detail.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to provide excellent customer service in a fast-paced environment.
  • Ability to establish and maintain effective working relationships with County employees, outside agencies, vendors, and the public.
  • Ability to safely operate a variety of warehouse equipment, including pickup trucks, delivery trucks/carts, forklifts, hand trucks, dollies, small hand tools, computer and hand-held data collection devices, and standard office machines.
  • Ability to work independently and in a team environment.
  • Ability to complete Individualized Development Plan (IDP) based on assigned department.

Required Education & Experience
  • High school diploma or equivalent education.

  • Two years of customer service experience.
Senior Logistics Coordinator:
  • Three years of purchasing, inventory, warehouse, finance, or related experience.
  • Three years of customer service experience.
Preferred Education & ExperienceSenior Logistics Coordinator:
  • College coursework in finance, accounting, or related field.
Licenses/Certificates
  • Must possess and maintain a valid driver's license.
  • Must possess and maintain a Forklift Operation Certification or must obtain within six months of employment.
  • Must obtain and maintain necessary certifications, licenses, and training as applicable to the position.
Pre-Employment Requirements
  • Must pass conditional post offer background investigation, motor vehicle record check, drug screen, and physical examination.
Work Conditions Duties are performed in both an office and stock room/warehouse environment and require the ability to perform laboring tasks with frequent standing, reaching, bending, and climbing. Frequent and regular local travel is required. Position requires regular loading and unloading of stock room carts/equipment and vehicles. Must be able to safely lift, push, and pull and up to 50 pounds frequently and 75 pounds occasionally; maneuvers and/or manipulates up to 300 pounds occasionally with the assistance of lifting aids. May be exposed to adverse weather conditions and hazardous materials, such as antifreeze, lubricants, solvents, corrosives, fuels, and vapors. May be required to work weekends and evenings and to respond to emergency situations as required.
