Are you living your life's work?Summary:The Assistant Property Manager (APM) will oversee day-to-day facility operations and activity at one or more outpatient clinical locations including but not limited to, Penn Medicine Radnor (PMR), Penn Medicine Cherry Hill (PMCH), Penn Medicine Valley Forge (PMVF), and Penn Medicine Washington Square (PMWS). The APM will have responsibility for the daily operation of all facility-related needs including physical plant, maintenance, regulatory issues (local, state & federal regulating bodies) fire and emergency safety, security, EVS, food services and patient transport. The APM will report to the Property Manager (PM) or Director of Real Estate Operations and maintain an active collaborative relationship to the facility or hospital entity leadership while developing a strong rapport with clinical stakeholders in the department. The APM will oversee receiving dock operations at their designated site.The APM will assist the PM or Director in compiling monthly expenses for financial reporting and be an active participant in regularly scheduled meetings with entity leadership. The APM will manage facility expenses by proactively identifying and addressing negative expense trends and will ensure all facility & utility-related invoices are submitted and paid on time.The APM will be the primary contact for any/all facility events that need facility resources.The APM will coordinate vendor and service partners in ensuring that the outpatient clinical facilities are 'patient-ready' at all times.Responsibilities:Daily operational collaboration with onsite vendor relationships including but not limited to:Physical Plant/Maintenance EVS Security Food Services Landscaping/Snow removal Life Safety HVAC Tenants or sub-leases pest control window cleaning elevators roof parking garage & lot electric/emergency generatorOversee receiving dock and materials management operations, staffing operations as neededIn collaboration with PM, ensure timely reconciliation for AP/invoices, utility bill managementWith entity/facility leadership, serve as front-line Emergency Management lead (power, weather, internal/external disasters)Support local practice leadership with facility-related expenses/projectsReconcile INR report monthlyContribute feedback for vendor evaluations taking a proactive approach to renewals and revisionsIn collaboration with the PM or Director, support the activities of entity Regulatory leadership and be an active participant in Regulatory, Licensure, or Accrediting body inspections and surveysEducation or Equivalent Experience:Bachelor's degree. (Required)3+ years of facilities management or similar experience in a healthcare or office setting. (Required)Skills/Abilities: Exceptional organization and communication skills Proven ability to work independently and hours as the business need drives Proven ability to partner with internal customers to drive success Proven ability to manage spreadsheets, data, paper records in a complex environment Proven ability to work after hours and some weekends (hours may vary to meet the business needs of the property).
