This critical role will oversee the daily operations of the institutional Registrar's Office, ensuring the efficient, accurate, and secure management of academic records. The Associate Registrar will be responsible for safeguarding the integrity and privacy of student records while managing key enrollment services, including registration, course management, grading, and graduation. This position calls for a collaborative leader who can effectively manage staff, integrate technology systems, and ensure compliance with university policies, as well as state and federal regulations. Additionally, the role will manage Registrar's Office operations across the Miami, San Juan, and Mayagez locations, implementing a shared services model to standardize processes across the institution.Responsibilities:
- Recommend, implement, and update university policies and procedures for student registration, academic records management, degree audits, and certification, ensuring all changes are effectively communicated to the university community.
- Develop and oversee systems for course scheduling, grading, transfer credit evaluations, and data reporting. Collaborate with IT to manage system upgrades, testing, troubleshooting, and provide necessary training.
- Enforce academic policies, monitor academic standing, process enrollment certifications, and manage exceptions or waivers.
- Oversee transcript processing, graduation clearances, and ensure the confidential handling of student records in compliance with FERPA and other privacy regulations.
- Produce ad hoc and annual reports analyzing trends in course enrollment, academic performance, and key metrics. Provide insights to academic and administrative leadership.
- Coordinate the grade petition process, address inquiries related to academic performance and resolve student records issues.
- Assist the Chief Enrollment Management Officer with budget development and monitor operating expenses.
- Hire, train, and supervise staff, manage performance, identify training needs, and foster a collaborative team environment.
- Serve on university committees and workgroups, contributing expertise in enrollment management, records policy, and related areas.
- Manage a shared services model across all AU locations, ensuring standardized processes for registration, records management, transfer credit evaluations, and degree audits, while collaborating with campus teams to optimize resource usage and address campus-specific needs.
- Partner with student success teams to enhance retention, graduation rates, and academic progress by ensuring the timely and accurate processing of academic records and registration.
- Support the coordination of special events, such as graduation ceremonies, orientations, and other student-related initiatives.
Requirements:
- A Master's degree in Educational Administration, Business Administration or a related field is required.
- Minimum of 3-5 years of managerial experience in higher education within a registrar's office or a similar enrollment management role.
- Demonstrated supervisory experience in a team-oriented environment.
- Expertise in recordkeeping systems, including computerized student information systems.
- In-depth understanding of student records regulations and confidentiality requirements.
- Ability to formulate policy, implement new procedures, and manage compliance with accreditation standards.
- Strong problem-solving and analytical skills for data reporting and trend analysis.
- Proficiency in computer applications relevant to enrollment management (e.g., degree audit systems).
- Excellent communication skills with the ability to build positive relationships with faculty, staff, and students.
- Skilled in prioritizing, organizing resources, and setting achievable goals.
- Proficiency with student information systems (e.g. Ellucian Colleague) and learning management systems (e.g., Blackboard).
- Strong knowledge of FERPA and compliance requirements.
- Proficiency in Microsoft Office Suite.
- Bilingual proficiency in English and Spanish, preferred.
