With six locations in the Natural State (Arkansas), opportunities abound!Position Overview: The Automotive Warranty Administrator is responsible for overseeing and managing all aspects of warranty claims within the dealership. This role involves ensuring that all warranty paperwork is completed accurately, claims are submitted in a timely manner, and reimbursements are received promptly. The Warranty Administrator serves as a liaison between the service department, customers, and manufacturers to resolve warranty-related issues.Key Responsibilities:
- Prepare, submit, and track warranty claims with manufacturers in accordance with their guidelines and timelines.
- Verify and review claims for completeness, accuracy, and adherence to warranty policies.
- Maintain up-to-date knowledge of warranty processes, manufacturer policies, and dealership service standards.
- Ensure proper documentation for each claim, including repair orders, parts, labor, and supporting evidence such as photos or technical findings.
- Maintain organized records of all warranty claims, adjustments, and payments.
- Serve as the primary point of contact for warranty-related inquiries for fixed operations staff (parts and service), and manufacturer representatives.
- Coordinate with the service manager and technicians to obtain required documentation or clarification on warranty claims.
- Provide timely updates to management and service teams on claim status, adjustments, or denials.
- Monitor and analyze warranty trends and identify potential areas of improvement in claim submission processes.
- Prepare monthly warranty activity reports, including claim status, reimbursements, and any pending or rejected claims.
- Recommend policy or procedural changes to enhance warranty submission accuracy and reduce claim denials.
- Review and verify that repair orders meet manufacturer requirements and ensure all labor, parts, and sublet items are accounted for.
- Conduct periodic audits of warranty claims to ensure adherence to manufacturer policies and dealership standards.
- Address and resolve warranty claim discrepancies or disputes with manufacturers.
- Educate service personnel on manufacturer warranty policies, including correct documentation and submission processes.
- Stay informed about manufacturer warranty updates, recalls, and changes to ensure compliance and efficiency.
- Performs other job-related duties and responsibilities as may be assigned from time to time.
