We work seamlessly across practices, industries and jurisdictions with asset managers, private equity and venture capital firms, Fortune 500 and FTSE companies, major sports leagues, entertainment industry legends and other industry-redefining companies.The Benefits Coordinator will work closely with the Benefits Manager and benefits team to coordinate and drive the development and execution of the Firm's Health and Welfare Benefits programs. In this role, the Benefits Coordinator, in conjunction with the Benefits Manager and benefits team, will assist with plan compliance, daily benefits administration, benefit payroll processing and consult with plan consultants, service providers, and plan participants who have questions regarding the plans.Responsibilities
- Coordinate the daily administration of all well-being programs and benefits, including health insurance, disability insurance, and other voluntary benefits.
- Respond to benefits inquiries from plan participants relating to eligibility, plan provisions, enrollments and status changes.
- Provide information and guidance to employees and other plan participants, insurance carriers, and government agencies in line with relevant compliance guidelines and the Firm's service standards.
- Assist with the employee benefits onboarding process, including delivering new hire benefits orientation, providing comprehensive explanations of benefits, guiding employees through the enrollment process.
- Assist with the benefit enrollment process, ensuring employee enrollments are completed timely, the appropriate vendors are notified and the employees' records are constantly maintained and updated.
- Process and review benefits enrollments in the HRIS and vendor sites to ensure accuracy.
- Prepare, reconcile and track monthly invoices for vendors to ensure payroll data accuracy and correct payments.
- Prepare manual benefits deduction files for payroll processing and conduct detailed review of payroll deductions each pay period to ensure accuracy.
- Coordinate and manually process transit enrollments and terminations directly with transit carriers.
- Assist employees with offboarding including preparing and sending final benefit memos, answering questions and resolving issues related to COBRA.
- Participate in the Open Enrollment process, including roll-out of employee communication materials, enrollment assistance, and follow up.
- Participate in any ongoing implementation or upgrades of the Firm's HRIS as it relates to benefits.
- Coordinate and participate in special projects and events throughout the year, including employee seminars, annual flu shot program, and health fairs.
- Assist with leaves and accommodation process as needed.
Qualifications
- Bachelor's Degree
- At least 2-4 years of experience as a benefits professional within a professional services environment
- Knowledge and experience related to federal, state, local laws and regulations including, but not limited to COBRA, Healthcare Reform requirements, Short Term disability, FMLA in multiple states, Workers' Compensation, workplace accommodations, and state specific government regulations for insurance filing and reporting
- Excellent customer service and problem solving capabilities
- Excellent communication and time management skills
- Advanced knowledge of Microsoft Excel and PowerPoint
This position will require physical presence in Proskauer's offices on a regular basis (at least 3x per week, or more, if it becomes the policy of the Firm or as business needs require). The anticipated compensation range for this position is $60,000 - $80,000.
