Job Summary

The duration of this temporary role is approximately 3-4 months. Please note: combination of remote and on-site work at Mission Bay campus. Includes optional medical benefits, sick leave accrual and holiday pay.

Under the general direction of the Benefits Manager, Leads, and supporting Analysts, the Benefits Specialist provides a full range of Benefits related customer service support to the department. Serves as the first point of contact for incoming inquiries and issues on the UCSF benefits inbox/phone line/CRM and enters them in the case management system (Firefly). Spends the majority of time addressing inquiries at the Tier 1/2 level and appropriately escalates complex cases to the Benefits Team or other internal/external HR partners. The Specialist also participates in the development of department processes, Tier 0 materials (such as the UCSF website, internal templates, and communications), and systems in an effort to effectively manage and enhance the client experience. The Specialist places a focus on service delivery and customer satisfaction, ensures inquiries are handled efficiently, and operates within compliance of applicable laws and UC policies. The Specialist may also participate in benefits workshops, orientations, or events (both in person and virtual) that promote ongoing benefits education to the UCSF population. The specialist will serve in the coordination and support of the delivery of the Family Member Eligibility Verification (FMEV) program locally at UCSF.

Involves administering and communicating health, welfare, and/or leave of absence benefit programs. Influences, shapes, and collaborates on employee benefit programs. May provide training to departments on employee benefit programs, and workshops on new / amended benefit programs. Counsels employees and managers on benefit programs and procedures.

Key Responsibilities:

  • Communication/Education/Training: Under general direction, creates, publishes, and maintains articles & content on the UCSF Benefits webpage. In conjunction with Benefits analysts & leads, coordinates employee orientations, training, presentations, or events where a benefits team presence is needed.
  • Consultation/Counseling/Analysis and Problem Resolution: Under general direction, addresses routine and sometimes complex non-routine inquiries and troubleshoots cases that may be sensitive in nature and require a high degree of diplomacy. In some cases, an employee may be facing significant financial stress or a life-threatening illness. Support provided includes but is not limited to cases related to UC health & welfare & retirement eligibility & enrollment. Interprets and applies a wide range of UC policies, state/federal laws, and UCSF policies. As needed, coordinates with Benefits Analysts & Leads, HR generalists, Leave of Absence Team, CEC, Controller's Office, UCPath, RASC, UCOP, and others to determine the best solution.
  • Family Member Eligibility Verification: Under general direction from UCOP partners, administers the Family Member Eligibility Verification Program (FMEV); reviews reports and reaches out to employees that are not in compliance; serves as a liaison between the employee and the FMEV vendor to troubleshoot problems; coordinates with UCOP/FMEV vendor/UCPath as needed to resolve issues related to eligibility verification.
  • Customer Relations Management Database (Firefly): Independently enters all inquiries into CRM (Firefly) and actively manages cases that require follow-up. Enters case notes to track all activity and compiles/identifies trends in the data. Relays any trend feedback to the Benefits Team in an effort to improve internal processes/enhance the benefits team support function.
  • Special Projects: Serves on special workgroups and performs other duties as assigned.
  • The final salary and offer components are subject to additional approvals based on UC policy.

    Required Qualifications

    • Possesses analytical skills to conduct analysis and develop recommendations of benefits inquiry trends, demonstrates acute organizational and problem-solving skills.
    • Ability to work in a highly collaborative manner at all levels of the organization.
    • Bachelor's degree in related area and / or 2 years of benefits/ HR customer service experience/equivalent training.

    Preferred Qualifications

    • Knowledge of organization policies and procedures; knowledge of UC Health & Welfare and retirement programs functional area and understanding how work may impact other areas.
    • Proven ability to use a variety of software such as Microsoft Word, Excel, Outlook, PowerPoint, Teams, and web-based software, etc.
