The Administration Department (ADM) provides resources and various support services that facilitate the Branchs flow of business in a sustainable and cost-efficient way. ADM manages communication with Head Office on Branchs various issues such as budgeting, expense the administration of expatriate-related matters, and the management of external parties such as the building management company and other service vendors.
Position Overview:
Fully knowledgeable on the day-to-day activities, resolves complex issues where expertise is required to interpret policies, guidelines, and practice. May be considered a subject matter expert for one or more functions or processes. Focus on operational execution and occasional broader planning within areas of expertise including managing accounts payable and maintaining data for payments and vendors. MUST BE Bilingual JAPANESE/ENGLISH BUSINESS-LEVEL PROFICIENT!
Duties and Responsibilities:
Assists with various Accounts Payable tasks, including daily bank account reconciliation, transferring data from Concur to QuickBooks, payment preparation, and manual data entry to QuickBooks, Concur, and ATLAS.
Creates Accounts Payable related reports to Head Office.
Provide assistance to the Accounts Receivable function, including data entry to QuickBooks, Concur, and ATLAS.
Assist with Various administrative tasks, which include creating various internal reports and applications, and other internal paperwork as needed.
Manages documents storage, including assistance for yearly review and destruction process for all departments.
Provides administrative support for MRC related transactions.
Assists with special projects as assigned.
Translates various documents and announcements from English to Japanese.
Perform other duties and responsibilities required by management.
Knowledge, Skills, and Abilities:
Bachelor's degree or its equivalent with 2+ years of related experience.
Excellent oral and written communication skill in Japanese and English.
Good knowledge of Microsoft Word, Excel, Outlook and SharePoint as well as other Microsoft Office products.
Good understanding of information security.
Good math ability and computer skills.
