Job Description:

Position Summary

The primary function of the Billing Account Specialist is to provide accurate and friendly customer service and billing department support in person and on the phone to patients, providers, insurers and staff regarding payment entry, account administration, insurance/claim processing and general clerical duties.

Typical Physical Demands

Work may require sitting for long periods of time; also, stooping, bending and stretching for files and supplies. Occasionally lifting files or paper. Requires manual dexterity sufficient to operate a keyboard, operate a calculator, telephone, photocopier, and fax as necessary. It is necessary to view and type on a computer screen for long periods and to work in an environment which can be very stressful. Multi-tasking required during varying degrees of workload volume.

Typical Working Conditions

Work is performed in an office environment with some exposure to moderate noise from equipment/telephones. Involves frequent contact with staff, patients, and the public daily. Work may be stressful at times. Contact may involve dealing with angry or upset people.

Essential Functions and Responsibilities

* Provide timely, courteous and helpful assistance to patients in addressing billing/account questions, treating patient records and issues confidentially, following HIPAA guidelines.

* Update demographic and account information, obtain missing information to complete the accounted for insurance and collection processes.

* Identify recurring problems encountered in registration, billing and insurance, document action taken and follow the correct procedures for rectifying any mistakes to proceed with the claims process. Promptly notify the billing manager of any concerns.

* Process claims, preauthorization's and follow up as needed

* Research insurance plans to verify accuracy of system information.

* Research electronic claim errors.

* Process all payments and adjustments per the contract or plan agreement.

* Analyze and audit patient accounts, determine problems and errors, and verify insurance payment and adjustments. Update accounts as needed.

* Remain knowledgeable of current practices and procedures within the clinical areas, the billing department and the billing system to be able to understand the impact on the patients' accounts.

* Bring any concerns regarding compliance with contract reimbursement agreements to the attention of the Billing Manager.

* Review any overpayment balances to determine need for account correction or refund. Complete correction/process.

* Distribute billing office mail as needed.

* Prepare bank deposits.

* Must work well in a team environment and be capable of building and maintaining positive relationships with internal and external customers

* Must be able to multi-task and can make sound judgments.

* Filing and other projects as assigned by Billing Manager.

* Assist with other billing department functions as needed.

Qualifications

* High School diploma or equivalent; Associate degree preferred.

* Two years of dental experience preferred.

* Insurance experience preferred.

* Experience with computer software applications and the ability to learn computer software quickly.

* Effective verbal and written communication skills in English language

* Ability to complete basic mathematical computations.

* Demonstrated prioritization, organizational, and attention to detail skills

* Skilled at multi-tasking and making sound judgments

* Ability maintain confidentiality of sensitive information

* Ability to establish and maintain effective working relationships with patients, staff, insurance organizations, and the public.

* Demonstrated ability to remain positive and calm in all circumstances

* Ability to work independently without constant supervision.
