Job Description:
We are looking for a detail-oriented and proactive Billing Specialist to join our team. The ideal candidate will have a strong understanding of billing processes within the IT industry, particularly in managing recurring revenue, service-based billing, and cloud services, but IT billing experience is not required. This role is crucial in ensuring that our billing operations run smoothly and that clients receive accurate and timely invoices for the services we provide.Key Responsibilities:
  • Service-Based Billing: Prepare and generate accurate invoices based on managed IT services, including recurring monthly charges, one-time projects, cloud services, and hardware/software sales. Monitor and ensure the correct application of pricing models, discounts, and contract terms in billing.
  • Recurring Revenue Management: Manage billing for recurring services such as IT support, network monitoring, cybersecurity solutions, and cloud hosting. Track and reconcile monthly recurring revenue (MRR) to ensure consistent and accurate billing.
  • Client Communication & Support: Serve as the main point of contact for client billing inquiries, ensuring clear and effective communication. Resolve billing disputes and discrepancies efficiently, maintaining strong client relationships.
  • Contract Management: Oversee the billing aspects of client contracts, ensuring compliance with service agreements, SLAs (Service Level Agreements), and any custom billing arrangements. Work closely with the sales and account management teams to update billing as contracts are renewed or modified.
  • Financial Reconciliation & Reporting: Reconcile billed services with delivered services to ensure all billable items are captured. Prepare detailed billing reports for management, highlighting revenue, outstanding payments, and any billing issues.
  • Systems & Tools: Utilize billing software integrated with RMM (Remote Monitoring and Management) and PSA (Professional Services Automation) tools to manage and automate billing cycles. Maintain and update client billing records in the company's financial management systems.
  • Compliance & Best Practices: Ensure all billing activities comply with industry regulations, including tax laws and IT service agreements. Continuously assess and improve billing processes to enhance efficiency and reduce errors.
Qualifications:
  • Experience: Previous experience in billing, especially within an IT Managed Services Provider environment, is preferred. Familiarity with IT services, cloud computing, and recurring revenue models is highly desirable.
  • Technical Skills: Proficiency in billing software, Excel, and accounting systems. Experience with RMM and PSA tools (e.g., ConnectWise, Autotask) is a plus.
  • Attention to Detail: High degree of accuracy in managing billing processes and resolving discrepancies.
  • Communication: Strong verbal and written communication skills, capable of explaining billing issues to clients and collaborating effectively with internal teams.
  • Problem-Solving: Ability to troubleshoot and resolve complex billing issues, often involving multiple stakeholders.
  • Organizational Skills: Excellent time management and organizational skills, with the ability to handle multiple clients and billing cycles simultaneously.
  • Education: A degree in finance, accounting, or a related field is preferred but not required. Relevant certifications or experience in IT billing are a plus.
