Weekly Hours: 35.00

Exemption Status: Non-Exempt

Salary Range: $29.15 - $32.91

Position Summary

Performs administrative and billing functions associated with the purchasing, maintenance, lab work, housing, and supplies for animal care and use.

Job Responsibilities

  • Creates annual LOC's. Monitors and alerts when funding is nearly exhausted. Serves as the resource to investigators and staff on issues related to billing, animal orders and related transactions.

  • Reviews and updates data in the internal billing system, ensuring appropriate funding information. Submits billing data for processing.

  • Submits payment requests to Accounts Payable for all invoices from research animal vendors, invoices for shipping and disposal of animals. Ensures proper processing of payments to vendors and follows up on unpaid invoices when necessary.

  • Performs quality control assessments on census and other data provided to ensure data integrity. Escalates any discrepancies and assists in resolving such discrepancies.

  • Monitors any outstanding accounts; maintains contact with appropriate parties in order to recover the outstanding amounts. Reports any repeat or pertinent offenders.

  • Serves as resource person to investigators and CCMP employees on issues related to billing, including inquires regarding monthly invoices and available funding sources.

  • Maintains various animal and department records for receipt of animals, bills, purchase orders, finance reports, etc.

  • Maintains database of current investigator charge accounts, miscellaneous charges, cost recovery data and other pertinent records.

  • Produces and analyzes reports, projections, benchmarks and graphs relating to census activities and growth, and other departmental services.

  • Assists with the preparation of the United States Department of Agriculture (USDA), Public Health Services (PHS), NY State Department of Health and American Association for the Accreditation of Laboratory Animal Care (AAALAC) annual reports.

  • Prepares SOPs as necessary for area responsibilities. Maintains familiarity with and working knowledge of relevant departmental Standard Operating Procedures (SOP's).

  • Performs other duties as required including assuming select Animal Inventory Assistant, Administrative Assistants, and System/Finance Analyst responsibilities in their absence.

Education

  • High School Diploma

Experience

Bachelor's degree is preferred. Equivalent years of professional experience can be considered in lieu of a degree.

Approximately 2 years of office experience.

Knowledge, Skills and Abilities

  • Excellent communication skills (both verbal and written).

  • Demonstrated strong communication and interpersonal skills; demonstrated ability to interact with multiple constituencies and exercise people skills .

  • Demonstrated proficiency with MS Office Suite and database applications.

  • Demonstrated organizational skills and ability to pay close attention to detail.

  • Ability to multi-task and work under pressure; ability to prioritize competing demands and complete action items efficiently with minimal supervision to meet deadlines.
