Job Type Part-timeDescriptionMISSION: Accepts and implements the YWCA Mission to empower women, eliminate racism and promote peace, justice, freedom and dignity for all.CUSTOMER IMPACT STATEMENT:The Part-Time Bookkeeper/Administrative Assistant is responsible for various tasks managing the office at headquarters, as well as bookkeeping responsibilities in support of the Chief Finance Officer (CFO) and Finance Department. The position includes overall office management and administrative support. This position reports to the Chief Finance Officer with a matrix reporting relationship to the Chief Executive Officer.Accountability/Priority ObjectivesGeneral Bookkeeping / Accounts Payable / Finance Support
Ensure Accounts Payable and purchasing transactions are accurate, timely, and completed efficiently.Manage agency invoices, including entering into the Accounts Payable System.Verify coding and approval of expenses (GL code, Dept., program, fund source, etc.).Filing - electronic and physical.Process cash receipts and make bank deposits.Liaise with vendors regarding payments.Credit card processing and statement reconciliation.Assist with annual financial audit and grant monitoring.Manage travel pre-approval process.Identify and recommend process improvements.Other duties as assigned.Office Management & Administrative Support
Maintain and coordinate administrative supply orders and inventory.Manage headquarters conference room scheduling.Maintain IT user information and set up; manage inventory of technology equipment and licenses.Work with IT to ensure the accuracy of Outlook address book and distribution lists.Answer general phone line and check / respond to voicemail messages.Ensure office equipment is functioning, manage routine service calls (copier, postage, etc.) and coordinate small maintenance projects.Open and process mail.Board Meeting Coordination: Prepare Board meeting packets, RSVP tracking, electronic voting and meeting logistics (approximately 5 meetings per year).Maintain Board Intranet and records such as contact lists, meeting minutes, resolutions and member files.Special projects as needed such as design and formatting of electronic presentations, compilation and submission of reports to YWCA USA, employee surveys and Development related projects.Help coordinate all-staff retreats and other all-staff meetings.Manage process improvement initiatives as required.General administrative and project support. Other Duties (include but also as assigned): Represent the Agency and program participant needs to funders, employers and the community-at-large in a positive manner. Maximize use of Agency resources.RequirementsEducation:Associate's or Bachelor's Degree preferred, but not required.Experience:A minimum of three to five years Accounts Payable, Bookkeeping, and administrative support experience.Project coordination experience is a plus.Skills:
