BOOKKEEPER JOB DESCRIPTION SUMMARY: The Bookkeeper is responsible for maintaining accurate and up-to-date accounting records and financial ledgers for the parish. Key duties include managing the parish payroll system, including proper deductions, tax payments, benefits, and payroll tax forms, as well as serving as a backup for payroll preparation in the absence of the Business Manager. The role also involves maintaining an organized filing and record-keeping system for all parish and school financial matters. The Bookkeeper prepares monthly, quarterly, and year-end reports for the Business Manager and assists in preparing the parish budget and annual financial statements.BOOKKEEPER DUTIES - OUR LADY OF REFUGE Using Intacct accounting software, the bookkeeper responsibilities include:
  • Process incoming invoices for payment, assuring proper documentation for proof of receipt of materials is received before payment is made and expenses are charged to the correct accounts in Intacct. Prepare checks for Pastor's (or designate if necessary) signature, distribute signed checks to vendors and staff.
  • Input Parish and School deposits received into Intacct, including funds received from the E-Giving program.
  • Prepare necessary Journal entries for school tuition receipts, AOD trust account interest and others as required
  • Balance Parish, Parent's Club, and Dad's Club checking account
  • File all paid invoices and posted deposits and other paperwork as required
  • Post Payroll journal entry to Intacct bi-weekly
  • Monthly bank reconciliation
  • Monthly reconciliation of Even Exchange accounts, Diocesan Collection, and others as necessary
  • Annually prepare 1099 for Vendors as required
  • Prepare Michigan Catholic Conference detail for monthly invoice
  • Respond to emails
  • Weekly prepare reports for bulletin and pastor
  • Process background checks for Archdiocese of Detroit Safe Environment program for staff and volunteers. Update background check/Virtus informational spreadsheet for school and athletic program. Keep updated of latest requirements from Archdiocese of Detroit for program
  • Assist Business Manager in preparing for Finance Council Meeting
  • Creating monthly Latchkey billing sheets for Business Manager
  • All other duties as required
Qualifications:
  • Previous Bookkeeping/Accounting experience a must
  • Experience in working at the Catholic Parish a plus
  • Working knowledge of Microsoft Office, Quick Books, Sage Intacct (must be willing to learn Intacct within three months of hire)
