Job Description:
We have an exciting opportunity for an experienced part-time/weekend administrative assistant who likes a lot of work variety. This is a part time weekend only position (Saturday and Sunday; 10 am - 2 pm)Job Duties and Responsibilities (Essential Job Functions)
  • Answer phone, schedule appointments, provide information, greet customers, orient clients to office/department services and personnel, and respond to information requests. (35-50%)
  • Enter data, maintain and monitor data files, create files and documents, produce reports, process and verify paperwork, prepare billings, process invoices, proof documents, prepare mailings, prepare packets and handle correspondence, may provide recordkeeping and transferring earnest money funds. (25-45%)
  • Assist with special projects as requested. (5-10%)
  • Perform daily branch office operations which may include maintaining office appearance, distributing and processing mail. (5-10%)
  • Filing and copying. Ensure all paperwork is completed and processed in a timely manner. (5-10%)
  • Assist training new office personnel. May provide work direction to other office staff. Train new sales agents on office equipment and computer programs. Act as a liaison between sales associates and office management. May provide support to office management and back-up support for clerical staff as needed. (0-10%)
  • May provide work direction or distribute work to office positions. (0-5%)
  • Order office supplies and maintain office equipment. (0-5%)
  • May handle travel arrangements and special meeting/event needs. (0-5%)
  • Perform any additional responsibilities as requested or assigned. (0-5%)

    QualificationsEducation:
    • High school diploma or the equivalent. Secondary education preferred.
    Experience:
    • Three years clerical or administrative experience.
    Knowledge and Skills:
    • Knowledge of real estate, title and/or mortgage business preferred.
    • Strong computer skills; proficient in Microsoft Office products.
    • Strong verbal and written communication skills.
    • Ability to prioritize and handle multiple tasks and project concurrently.
    • Strong organizational skills, accuracy/quality, detail-oriented.
    • Strong interpersonal skills, a customer service focus and the ability to work as member in team-oriented environment.
    • Effective analytical and problem-solving skills. Attention to detail.
