Role Profile

The Brand Support Specialist will provide essential administrative and operational support to the brand management team. This role involves coordinating brand-related activities, managing brand assets, and ensuring consistent brand messaging across all channels. The ideal candidate will be self-starting, proactive, efficient, and capable of multitasking in a fast-paced environment.

Responsibilities

Administrative Support :

+ Provide administrative assistance to the Global Brand Director, including scheduling meetings, preparing agendas, and managing follow-up items.

+ Manage correspondence and communications related to brand activities in the team's newsletter, team email inbox, shared group mailboxes, the team SharePoint site(s) (Brand Central) and other material as needed.

+ Maintain calendar for Global Brand Director; schedule meetings as requested and resolve conflicts as needed.

+ Manage travel and expenses for Director.

+ Assist with Performance Management Process by scheduling ongoing discussions with team and leadership.

+ Process Director's Outlook mail, post meetings, identify and handle action due dates, and respond for director when appropriate.

+ Assist with special reporting requests as needed.

+ Safety coordinator for designated (local) area.

+ Timekeeping for the team

Brand Asset Management:

+ Ensure all brand assets are up-to-date and accessible to relevant stakeholders on the team's Sharepoint site(s) (Brand Central).

+ Serve as main point of contact for photography and similar asset management to support the brand.

+ Assist brand traffic management with print production support as needed.

Additional Responsibilities

Operations Support:

+ Prepare and maintain documentation related to brand team's activities, progress toward goals, stakeholder workshops and corporate in-house reporting.

+ Assist in the preparation of reports and presentations for internal and external stakeholders.

+ Maintain and report on budget monthly with an over/under analysis; annual reporting; invoice tracking; accrual and deferral maintenance and high-touch collaboration with accounting.

Project Coordination:

+ Coordinate and manage logistics for brand-related projects, including but not limited to brand architecture, digital asset management and change management for multiple efforts.

+ Work closely with cross-functional teams, including marketing, sales, and product development, to support brand initiatives.

+ Support Brand Team leadership with Agile rituals including but not limited to: backlog grooming, calendar support for group meetings including retrospectives; intake support; daily stand-up; team meetings; documentation for team processes.

Qualifications

+ Bachelor's degree in Marketing, Communications, Business, or a related field.

+ 2+ years of experience in an administrative or support role, preferably in marketing or brand management.

+ Strong organizational skills and attention to detail.

+ Excellent written and verbal communication skills.

+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with graphic design software (e.g., Adobe Creative Suite) is a plus.

+ Ability to work independently and collaboratively in a fast-paced environment.

+ Strong problem-solving skills and a proactive approach to tasks.
