Position Description & Details

Join us as a Building & Grounds Administrative Assistant and play a vital role in supporting our Buildings and Grounds team with essential office support services!

Key Responsibilities

General Office Support

* Be the friendly face and voice of our department-answer telephones, respond to inquiries, and provide information to visitors.

* Assist the Chief Buildings and Grounds Officer by managing office tasks, electronic calendars, and email correspondence.

* Provide support to Buildings and Grounds Supervisors as needed.

* Manage incoming and outgoing mail, including bulk and metered mailings.

* Monitor and maintain office supply inventory, ensuring the department has what it needs to succeed.

Data and Reporting Coordination

* Oversee the key distribution process for employees.

* Keep the Buildings and Grounds and Mail Center Core Portal Pages updated and organized.

* Manage work orders and maintain accurate records and reports, including FAMIS data input and Surplus Property software.

* Assist with payment requests and preparation of performance evaluations.

* Track and report state fleet vehicle mileage to the Department of Transportation.

Miscellaneous Duties

* Bring your creativity and innovative ideas to help improve department processes and functions.

* Tackle additional responsibilities as assigned to support the team and the college's goals.

Minimum Requirements

* Appropriate associate degree and two years of directly related experience or four years of directly related work experience.

* Good knowledge of computer software programs (i.e., Microsoft Office Suite-Word, Excel, Access, electronic calendar, e-mail, etc.) and good keyboarding skills.

* Good working knowledge of office procedures and telephone etiquette.

* Excellent interpersonal skills and ability to relate to people of varying ages and backgrounds.

* Excellent customer service skills.

* Good written communication, organizational skills, and attention to detail and accuracy.

* Disciplined and able to maintain confidentiality.

Preferred Qualifications

* More than four years of directly related work experience.
