This includes managing the financial operations of key sub-units such as Registrar, Admissions, Student Services and Retention, Graduate and International Admissions, Student Financial Aid, Military and Veteran Services, and CORE TEAM. With a comprehensive $5 million operating budget, the BAA is responsible for long-term and short-term budget planning, fiscal analysis, and ensuring the effective allocation of resources to support strategic initiatives. This position reports to the Vice Chancellor of Enrollment Management. Key Responsibilities:
- Financial Management & Budgeting: Lead the budgeting process for Enrollment Management units, managing and creating budget transfers to fund departmental initiatives. Provide critical financial analysis and advice to the Vice Chancellor of Enrollment Management and unit directors, assisting with both immediate and future budgetary goals. Oversee annual budgets, track spending, and manage internal transfers, ensuring compliance with fiscal policies.
- Human Resource Oversight: Handle sensitive human resource issues for Enrollment Management, including maintaining confidentiality regarding unit leadership personnel (Directors and Associate Directors). Work closely with HR to address personnel concerns, provide solutions, and ensure adherence to University, Union, and state guidelines. Serve as the liaison with HR and the Assistant to the Provost on HR matters.
- Operational Coordination: Oversee the day-to-day operations of the Office of Enrollment Management, resolving complex and non-routine issues. Coordinate with AVC, Directors, and key staff to ensure smooth operations, supporting the implementation of fiscal protocols and strategies to meet department goals.
- Fiscal Leadership & Compliance: Act as an authorized signer and P-Card approver for various Enrollment Management units. Establish and implement internal fiscal controls and procedures to maintain a healthy financial status for the unit. Serve as Fiscal Officer in the absence of a Director and act as a liaison with the Budget Officer in the Office of the Provost on all budget-related issues.
- HR & Payroll Management: Monitor and track HR-related activities, such as contract reviews, position control forms, payroll certifications, and assignment changes. Advise directors on HR matters and manage confidential employee information. Ensure all HR practices align with university policies, union regulations, and federal and state guidelines.
- Student Financial Aid & Scholarships: Work closely with the Office of Student Financial Aid, managing a $21 million scholarship budget. Provide oversight of scholarship, foundation, and administrative cost allowance accounts. Participate in scholarship planning, FISAP, and analysis of financial aid accounts.
- Strategic Planning & Special Projects: Contribute to the long-term planning for Enrollment Management, including budget forecasting, personnel management, reorganizations, space utilization, and policy development. Lead or participate in special projects that align with the strategic goals of the Enrollment Management division.
Typical QualificationsMinimum Qualifications:
Bachelor's degree in business administration, management, or a field related to the position.Two (2) years of professional business, financial, and/or managerial work experience.(NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)Minimum of 2 years of experience in: Budgeting, Financial Spreadsheets, Data Analysis and Report GenerationPreferred Qualifications:
