Business and Ministry Operations Manager Job DescriptionSeeds Wilderness Therapy has always worked with families with troubled teens. Seeds is distinctly Christian and as such combines the best practices in therapy with the teachings of Jesus and solid discipleship. Using the healing and redemptive attributes of wilderness retreat and through facilitating restorative social cultures, Seeds has led many people to peace. Perhaps like any good Church focused on renewal in Christ, it has always been fascinating that this group of people transformed is far broader than the students we have set out to serve. Parents or extended family of each participant, their peer groups/ home environments, and even our own staff (and our families) have been radically transformed through this ministry. However, it has come to our attention that this ministry could reach even more! All people groups have some level of brokenness, and wilderness retreat or expedition can lead to the hope of Jesus. Due to some loud, minority voices in the media and legislation we are going to rebrand away from the term 'wilderness therapy' and even the structure as a state licensed child care facility. Rather we will focus on the Way of Jesus as our form and function, and rebrand with the intent to reach a broader clientele than just teenagers who are struggling with emotional, spiritual, or relational brokeness. This complex rebranding and retrenching requires a unique ministry business implementation, which is where you come in as a business leader. Together let's use your skill in business to advance peace and push back against the mental health crisis in the US!To be transparent, Seeds is pretty small right now. In 2022, our largest year, we had 35 employees. In comparison, some of our competition in wilderness therapy is grossing 12-18M per year with over 100 staff. The right candidate will help us transition from small start up to a sustainable and thriving business... perhaps able to scholarship a significant percentage of our students. This unique position will take pastoral vision from the Director/Founder- Dean Reynolds, and help to turn it into day-to-day operational function or discipleship. Additionally, this position will help strategize and develop the timeline to roll out new products and initiatives. This position combines traditional roles of finances, marketing, operations, and strategic leadership. Compensation
  • This position is a pivotal role to ministry advancement and should be seen as a missionary position to advance the Kingdom of God. This position will raise missional support to partner with monthly partners who also want to see peace for those in deep brokenness. The duties and expectations include:Character
  • Faithful and a mature disciple of Jesus is a must.
    • Continual and observable growth in spiritual fruit and Christian values.
  • Winsome, and charismatic leadership.
  • Able to meet Elder standards as set forth by 1 Timothy and Titus.
Financial and Accounting
  • Help us set and reach quarterly financial goals through sales, fundraising, and faith
  • Produce (and review w/ director) Profit and Loss statements.
  • Assist in creating, implementing and overseeing the budget.
  • Set processes and procedures for invoicing, receipts, accounts payable, accounts receivable. Ensure all expenditures are tracked and coded, with proper documentation such as receipts, statements, contracts, etc. according to Seeds policy.
  • Oversee bookkeeping functions and payroll processes
  • Work with the Parent Coordinator to invoice parents and ensure payments are received
  • Monthly account reconciliation including banks, credit cards, etc.
  • Track contractor hours/jobs and assist in cutting monthly checks
  • Donor Management
    • Strategize and develop fundraising goals.
    • Oversee an admin assistant (or other personnel) to regularly and often communicate with donor to cast vision and to thank them for their generosity.
Marketing/Outreach and Sustainability
  • Oversee Marketing Department (internal or external)
  • Develop pipeline for customer acquisition and onboarding
    • This may include developing or overseeing content for regular giveaways to build trust (i.e. How does our Facebook group learn to trust us enough to go on backcountry expeditions with us?)
  • Strategize and develop a plan for sustainability
  • Suggest conferences and events for exposure, recruiting, and referrals.
  • Coordinate outreach events with local churches
  • Plan in implementation of strategic giveaways and therapeutic prevention. (How do we resource the church, and keep kids from needing Seeds Wilderness Therapy?)
Business and Ministry Operations
  • Oversee Office and Administrative (Lead/Manage... not necessarily do)
    • Create marketing material, social media, or other content
    • Create documents, mail letters/cards,
    • Maintain filing system and assist other departments in proper paperwork filing
    • Ensure proper documentation is complete and stored in the right location.
    • Maintain the employee handbook.
  • Compliance and Accreditation (do)
    • Maintain insurance certificates, audits, accreditation, permits, and licensing processes
    • Study existing legislation and anticipate new legislation, enforce adherence to requirements, and implement needed actions.
      • This is especially important for any therapeutic postures or child care we maintain after the rebrand.
    • File critical incident reports. Access to the State TRAILS system to complete required communication.
  • Human Resources (Lead/Manage...not necessarily do)
    • Assist in staff development and discipleship, to help them to grow in Seeds values.
      • coaching, counseling, or discipline, etc
    • Implement annual performance reviews.
    • Conduct annual staff feedback surveys and compile the results
    • Utilizing BambooHR ensures all staff are properly onboarded with orientation, training, and background checks
    • Oversees the hiring process; ensures that each position has an accurate job description.
      • Support to time tracking system is used properly.
    • Meet or exceed the State licensing requirements for documentation for each staff member's file.
    • Manage coworker's compensation claims.
    • Manage personnel benefits.
Strategy and Implementation (Integrator)
  • Keep Seeds running at efficiency in consideration of spiritual, financial, discipleship, and therapeutic value. Help us define success. Triage and timeline tasks.
  • Contribute to sustainable strategy and development.
  • Set yearly and quarterly objectives with the founder. SWOT analysis, Plan and execute.
  • Lead level 10 meetings. This is data and metric review, identifying problems- then solutions, and weekly action steps for each department.
  • Communicate often and regularly for issues. What is the vision? What are the tasks and measurables? How would an employee know the ideal from real...excellency from mediocrity?
  • Discuss threats and challenges with Director. Ask how the company should address them. Often share the problem with Director... and brainstorm a solution.
  • Delegate and train. Think experiential learning. Give feedback and quarterly performance reviews.
  • Taskmaster- Assertively and effectively support others to get tasks done. Do this lovingly with a servant heart.
    • Coordinate quarterly board meetings with the Executive Director and BOD.
  • Always ask, what can you take off the director's plate and delegate to others.
  • In-service, field visits, training, or teaching as needed
  • Willings to pray on the job - corporate prayer, intercession, listening prayer, personal
Qualifications/Experience
  • 3 years in nonprofit leadership (or equivalent business management)
  • 1 years responsible for P&L
  • 3 years ministry experience
  • MBA or equivalent
    • or 3 years of office administrative experience
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication.
  • Ability to work autonomously as well as part of a team
  • Strong organizational and planning skills.
  • Experience in wilderness therapy or counseling helpful
  • Therapeutic experience preferred.
  • Supports the company ministry values
