The Business Manager performsall duties as needed to fill the Department Head responsibilities. The BusinessManager also delivers quality customer service to clients and potential clients; assistingand supporting UW-Extension faculty and staff in delivering educational programs andserving as the administrative assistant for designated UW-Extension faculty and staff. Essential Duties and Responsibilities
- Maintain accurate financial records of all office accounts and prepares invoices for
payment. Submit time and payroll sheets and maintains vacation, sick leave andpersonnel leave records for support staff, student assistant and intern summer assistant.
- Responsible for accurate money transactions, including but not limited to petty cash
reconciliations, deposits, voucher documentation, and timely transition to county funds.Includes responsibility for purchasing office supplies and capital assets.
- Responsible to learn operations of MUNIS to incorporate UW-Extension Financial
information into county records.
- Responsible for preparation and record keeping for the Agriculture and Extension
Education Committee including, but not limited to typing monthly committee minutes and support materials, preparing monthly bill statements, budgets, annual reports and other researchable topics.
- Maintain level of confidentiality for documents and conversations regarding Department Head issues, and researches background documents and other sources to present information to the Ag and Extension committee.
- Delivery of friendly, helpful customer service to clientele and visitors via personal contacts, telephone contact, Zoom, mail, or by electronic means.
- Accurately design and prepare newsletters, handouts, visuals, brochures, signs, and
other bulletins to aid in promoting Extension Activities, while complying with state mandated rules.
- Proficient at using a wide variety of computer programs such as word processing,
spreadsheet, graphic design, web design, Google Suite, electronic mail, Internet browser and County Fair software. Ability to adapt to most recent upgrades or changes in software and learn as a team player in the office. Ability to be liaison for computer program upgrades and changes.
- Ability to operate video and audio-conferencing equipment and assist outside departments and other clientele when necessary, especially (but not limited to) Multi-Purpose Room usage by groups who need assistance.
- Maintain office computer listing for updates, conversions, new computers, etc. to stay on 5-year rotation with IT Department. Secure bids for new computer equipment compatible with office needs. Coordinate with end user to ensure equipment will meet expectations.
- Maintain office listing of updates and equipment for projectors, speakers, and
microphones for meeting usage.
- Maintain updates, minor maintenance, etc. to keep office equipment operational.
- Maintain files and type UW-Extension correspondence, reports, and other related work as required for current and historical purposes.
- Train and assist in the operation of computers printers, copiers, laminators, and other
office equipment with other office personnel.
- Train, designate work projects and evaluate work performance of County employees, part-time student, and intern summer assistant.
- Assist in recruiting, interviewing, and recommending hiring of office personnel, as well as dismissal of employees as needed. Complete exit interviews in search of ways to improve position and team environment within the office.
- Operate computers, printers, copiers, folding machine, laminators, large format printer, projectors, speakers, microphones, duplicator machine, scanner, postal machines, and other related office machines.
- Operate video and audio equipment, including speakers/microphones for enhancing
group type meetings.
- Be proficient at using a wide variety of computer programs such as word processing,
spreadsheet, PowerPoint graphic design, web design, Google Suite, electronic mail, Internet browser and County Fair software, MUNIS Software, Zoom Software setups, Office Facebook Account, and Qualtrics Survey Software.
- Have access to an insured motor vehicle and is responsible for running various errands on behalf of the office.
- Strong ability to work as part of an educational team.

- Facilitate staff meetings by helping prepare agendas and minutes.
- Monitor employee attendance and prepare all necessary payroll documents bi-weekly.
- Facilitate orientations and training for new UW Extension Green County employees, and personnel file management in working with HR Department.
- Attend and report on Green County Department Head meetings and Justice Center
Security Meetings, and other necessary Department Head trainings/updates.
- Manage equipment/asset inventory list and tag assignments for new equipment.
- Manage financial reports such as bulk mail permits, State UWEX postage reimbursements, State meals reports, and State Banking Authorizations.
- Complete Civil Rights Compliance reviews as deemed necessary for University
compliance. Increased involvement to ensure office files are maintained to expectations of State University.
- Prepare annual budget data, projections and proposals for approval
SUPERVISORY RESPONSIBLITIESThis position directly supervises one full-time employee and 2 part-time employees. This position carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaintsand resolving problems, to create a unified TEAM office environment. Qualifications QUALIFICATIONSTo perform this job successfully, and individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.EDUCATION and/or EXPERIENCE
- Associate's degree (A. A.) or equivalent from two-year college or technical school
- Office Management Training, or three years related experience and/or training; or
equivalent combination of education and experience.
- Knowledge of 4-H, Youth Development, Agriculture, Community/Economic Development, and/or Family and Consumer Sciences would be very helpful.
- Flexibility for training in this position at least one year long due to ever changing programs, workshops, equipment, and applicable job opportunities.
CERTIFICATES, LICENSES, REGISTRATIONS
- Valid driver's license.
- Valid automobile registration and insurance policy minimum liability coverage as required by law.
LANGUAGE SKILLS
- Ability to read and interpret documents such as safety rules, operating and maintenance
instructions, and procedure manuals.
- Ability to accurately write routine reports and correspondence.
- Ability to effectively communicate both in written and/or verbal format to clientele, and employees of UW-Extension.

- Ability to calculate figures and amounts such as discounts, interest, commissions,
proportions, percentages, area, circumference, and volume.
- Ability to accurately prepare and maintain office financial records.
