This position is in Pay Grade 5 Primary Purpose: Work under moderate supervision and follow established procedures to maintain accounting records, process accounts payables/receivables according to standard accounting procedures, and support other business office activities and functions. Qualifications: Education/Certification: High school diploma or GED from an Accredited Institution Special Knowledge/Skills: Strong organizational, communication, and interpersonal skills Ability to interpret and disseminate information to individuals Proficient skills in keyboarding, word processing, spreadsheets, and file maintenance Ability to maintain accurate and auditable records Ability to use personal computer and software to develop spreadsheets, databases, and do word processing Ability to work with numbers in an accurate and rapid manner Ability to meet established deadlines Experience: One year accounting or financial setting experience, preferably in a public education environment Major Responsibilities and Duties: Records, Reports, and Correspondence
Compile pertinent data as needed when preparing various local, state, and/or federal reports. Maintain physical and computerized departmental files. Accounting and Accounts Payable/Receivable
Perform routine bookkeeping tasks, including simple arithmetic operations. Assist with data entry/recording of daily bank deposits and/or cash receipts into general accounting system. Prepare bank deposits for monies received in the Business Department. Receive and process for timely payment accounts payable invoices, credit card statements, requisitions, purchase orders, receipts, and vendor information. Match invoices with proper purchase orders to ensure completeness and accuracy of invoices and shipments prior to payment. Detect and resolve problems with incorrect orders, purchase orders, and invoices as needed. Contact district personnel and vendors to correct or obtain information needed. Assist with processing and printing finance checks. Research open purchase orders older than two (2) months to determine delay in processing. Assist with maintaining the Business Department pages on the District's website. Receive, sort, and distribute mail and other documents to appropriate staff. Be professional and pleasant when greeting the public and district employees. Handle business needs of public and district employees promptly. Answer incoming calls, take reliable messages, and route to appropriate staff. Maintain confidentiality of information and support district goals and plans. Follow district safety protocols and emergency prepardness Perform other duties as assigned. Supervisory Responsibilities: None.
