Position Details Location Hattiesburg 118 College Drive Hattiesburg, Mississippi, 39406-0001 United States Division Administration Physical Plant Position Type Staff Employment Status Full Time Grant Funded No Pay Grade E10 Posting Close Date Open until filled Job SummaryResponsiblefor providing the Associate Vice President for Facilities and PlanningManagement with timely, high quality and accurate financial information;forecasting and budgeted results for Physical Plant budgets; evaluation ofcost/benefit analysis and business improvement options for the Hattiesburg andGulf Coast campuses. Primary Duties and Responsibilities
  • Provides the Associate Vice President for Facilities and Planning Management with current information regarding all aspects of Physical Plant financial and administrative operations at all locations.
  • For the Hattiesburg campus, approves all Physical Plant accounts payable vouchers using PeopleSoft software. Ensures all departmental payments are made in a timely manner. For all locations, supervises the establishment of work-in-process accounts in PeopleSoft and transfers funds to establish project budgets. Monitors expenditures of construction funds.
  • Serves as primary Physical Plant liaison to the Office of the Controller. Assists with preparing information and schedules as requested by the Controller to include plant fund schedules and disclosures in the annual financial report.
  • For the Hattiesburg campus, responsible for the management, preparation, coordination, and execution of the Physical Plant division's annual budget development process, working closely with the Office of Fiscal Planning and Analysis. Oversees the preparation of monthly budget reports for Physical Plant departments and monitors financial results to ensure the Physical Plant is operating within budgetary constraints.
  • Maintains annual list of projects funded with Legislative Capital Expense Funds. Ensures expenses meet legislative requirements and are processed by applicable deadlines. Maintains and organizes invoices for submission to IHL to accompany requests for reimbursement.
  • Maintains files and spreadsheets to track expenses and project balances for capital projects funded by university-issued bonds. Prepares submission to bond trustee(s) for request for reimbursement of expenses. Maintains files of bond documentation in anticipation of potential audit.
  • Assists in the implementation of financial systems.
  • Performs other duties as assigned.
  • Minimum QualificationsBachelor'sdegree from an accredited college or university in accounting or related field;and three to five years of accounting, bookkeeping or related experience and/ortraining. Knowledge, Skills & Abilities
    • Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals.
    • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
    • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
    • Utilizes personal computer, computer software (Work Order Computer Software, like TMA , PeopleSoft, and Microsoft Office), photocopy machine, fax machine, and calculator. Also uses standard office equipment such as stapler, staple remover, and scissors.
    Preferred QualificationsWork experiencewith a construction company or an institutional organization managing businessoperations for multiple complex or large-scale projects simultaneously.
