FMB has oversight of the building maintenance, repair and preserve of historical structures, ground maintenance with the directive of administrative staff ensuring that the team is working within the realms of state government procurement is maintained in a fast and high paced environment.The administrative portion is to ensure that procurement procedures and processes are implemented to ensure that the finances, are being tracked for open and close out of the fiscal year. Ensure that statewide Staff Managers are receiving fully dispatched purchase orders to ensure that projects are moving efficiently. Why does the job exist?This position exists to ensure that procurement for DCA projects are being implemented, tracked and are on track in order for DCA Projects to move swiftly through the process. How does it get done?Under the supervision of the Staff Manager, the Bus Ops Specialist - A, will proactively process requisitions, secure a purchase orders, dispatch approved po's to staff out in the field, log po information onto the Expenditure Spreadsheet and DCA Project Plans. Process ISTE's (in-state travel expenses) and travel, audit and process invoices, process travel payment vouchers, process and track po change orders. Support procurement including coordination of quotes. Track available funding sources for maintenance, repairs for operational or capital outlay funding and projects. Assist with ITB's or RFPs, if required.Perform administrative support functions such as process Award Letters, Task Orders for contracts, data entry into spreadsheets, track bonds, file bonds and other documentations electronically and hard copy. Take meeting minutes as required. Who are the customers?DCA Facilities internal customers to include Museums, Historic Sites and staff such as other DCA divisions. External customers such as visitors, vendors, other state agencies as well as local community. Ideal CandidateHigh school diploma or equivalence, three (3) years' experience in office administration, budgeting, purchasing, finance, accounting, auditing, contract management. Minimum QualificationAssociate's degree in business administration, Public Administration or Accounting and two (2) years of directly related job experience in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management and/or contract management. Employment RequirementsMust possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment. Must possess and maintain a valid New Mexico Driver's License. Working ConditionsWork is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. Some Travel within the state may be required and must be able to lift up to 25 lbs.
