**NATURE OF POSITION**

Performs a variety of moderately complex assignments and confidential executive-level administrative support to the Director of Human Resources and Labor Relations to ensure smooth, timely and efficient operations within the HR function. Requires the considerable use of tact, discretion, initiative, sound judgement to provide operational and administrative support for departmental activities and office processes.

**ESSENTIAL DUTIES AND RESPONSIBILITIES**

* Provide varied, complex, responsible, and confidential assistance to the Human Resources & Labor Relations Director and other managers and staff within the Human Resources department.

* Coordinate the scheduling and maintenance of the Directors calendar; determine priority of meetings; ensure availability of pertinent data and documents and ensure appropriate parties are scheduled as required. for all meetings.

* Organize, prioritize, and support the management of the Directors email communication and other team email inboxes. Prepare and respond according to established guidance, using discretion and discernment complex and sensitive topics.

* Prepare and schedule meetings for coordination of day-to-day business operations; assemble materials and process records and materials as needed.

* Compose correspondence on behalf of the Director from minimal information or written drafts. Prepare a variety of documents including official business correspondence, memos, Board resolutions, reports, policy drafts, meeting minutes, lists, and other written materials and documentation related to assigned activities.

* Develop, implement, and maintain effective document control systems, including department and management electronic document and folder management. Prepare new file folders, perform filing and file retrieval duties; purge outdated information and materials based on Agency guidelines.

* Provide project management support and coordination for various operational improvements and Human Resources goals and initiatives; track and report status of project schedule, milestones, and deliverables; execute project management tasks and activities as directed by the Director, coordinate and interface with internal and external parties.

* Enter and retrieve data and information in computer databases, computer records, and other computer-based information systems; compile and run standard reports.

* Coordinate office supply orders; execute department purchases as directed. Prepare all expense and credit card reports and coordinate all invoices for appropriate coding, logging, and processing.

* Receive, sort, and distribute office mail, reports, and other materials; process outgoing mail and prepare mailings and make deliveries.

* Assist visitors and callers by answering questions or referring them to the appropriate source of information; distribute and assist in the completion of forms.

* Work with and maintain confidential information.

* Demonstrate regular and punctual attendance.

* Other duties as assigned.

* Able to compose concise, factual, and grammatically correct routine correspondence, reports, and various documents; maintain a variety of confidential information, complex files, records, and reports.

* Utilize office equipment and other relevant technology (software and systems) to meet business needs.

* Organize and maintain office files; gather and compile information.

* Record keeping principles, procedures, and techniques.

* Understand, follow, and communicate clearly and concisely, both orally and in writing.

* Work as a team member and independently; effectively apply organizational and time management skills; meet deadlines and comply with Agency policies.

* Exercise sound judgment in making decisions.

* Focus on tasks and recall details; handle frequent interruptions.

**Qualifications**

**MINIMUM QUALIFICATIONS**

Associate degree in Business Administration or related field from an accredited institution, and three-years of progressively responsible administrative experience providing office and administrative support to management or executive staff; or an equivalent combination of education and experience. Must possess a valid drivers license.

**PREFERRED QUALIFICATIONS**

Bachelors Degree in Business Administration or related field from an accredited institution and three-years of related experience. Experience in a public transportation organization is desired.
