Overview:

The Emma Eccles Jones College of Education and Human Services business services team is seeking a motivated and detail-oriented individual to join us as a non-benefited/hourly Business Assistant. The Business Assistant will provide transactional support to departments within the college. The position requires excellent interpersonal and communication skills, the ability to balance multiple projects and deadlines, and the desire and capacity to work both independently and collaboratively as part of a productive team.

Review of applications will begin September 5 and will continue until the position is filled.

Responsibilities:

The Business Assistants duties will be varied and will depend on the needs of the college business services team but may include any of the following:

Provide Travel Services

  • Prepare Travel Authorizations & complete Travel Reimbursements in accordance with travel policies and procedures
  • Provides professional customer service, responds to questions by phone, in-person and by email in a prompt, courteous manner

Provide Personnel Services

  • Submit EPAFs for employees
  • Submit job postings
  • Collect required employment forms
  • Monitor and enforce compliance to established university policies and procedures

Purchasing

  • Attach receipts to purchasing card transactions
  • Assist in enforcing purchasing card regulations
  • Coordinate purchasing transactions in accordance with University policies and practices
  • Submit invoices for payment

Other

  • Back up other business assistants/managers within the college on various transactions as needed/requested
  • Special projects as assigned
  • Develop and maintains record keeping systems
  • Perform miscellaneous job-related duties as assigned
Qualifications:

Minimum Qualifications

  • Two years of related work experience; or an associate degree/technical training in a business field is required

Preferred Qualifications

  • Four years of related work experience; or an associate degree/technical training plus two years of related work experience; or a bachelors degree in a business field
  • USU experience
  • Familiarity with USU travel, purchasing, p-card, and HR policies and procedures
  • Experience with Banner and USU forms

Knowledge, Skills, and Abilities

  • Knowledge of accounts payable procedures
  • Knowledge of accounts reconciliation and ability to reconcile accounts
  • Knowledge of purchasing policies and practices for a public institution
  • Skilled with computer programs, including spreadsheets, and word processing
  • Accurate keyboarding and data entry skills
  • Skilled with basic office equipment, including printers, copiers, and telephone systems
  • Ability to handle sensitive and confidential business data and personal information
  • Ability to work without supervision
  • Friendly and service-oriented attitude with excellent customer service skills
  • Strong interpersonal, oral, and written communication skills
  • Deductive reasoning, problem solving, and prioritizing skills
  • Excellent organizational skills and attention to detail
  • Ability to work under pressure in a fast-paced office environment
  • Ability to work independently, anticipate needs, and voluntarily take appropriate action

Advertised Salary: Minimum $14.71 per hour commensurate with education and experienceADA:

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions. The employee is frequently required to reach with hands and arms and may lift and/or move up to 10 pounds.
