Job Description:
Under general supervision, manage submission of transactions related to student assistant personnel/payroll & timesheets, purchasing, travel and entertainment, accounts payable, accounts receivable and equipment inventory in the Hart Interdisciplinary Programs Administrative Cluster. Provide day-to-day central office administrative processing support in areas such as purchasing, Travel and Entertainment accounts receivable, accounts payable, shipping assistance, mail distribution, key control, facility work order submission, etc. Assist as needed in a back-up capacity with graduate student hiring (AI, TA, Reader, GSR).Apply By Date : November 1, 2024 Minimum Qualifications For full consideration, applicants are encouraged to upload license, certification and/or educational degree if required of the position.
  • Experience using automated systems to perform accounting transactions relevant to position.
  • Administrative and customer service experience to handle a busy office with many interruptions during the workday.
  • Experience performing data entry into an online system.
  • Experience using computer applications for word processing, spreadsheets, email, internet searches, and calendaring/scheduling software.
  • Analytical and mathematical skills to identify/research/resolve accounting, personnel, and payroll problems, to analyze and prepare reports, and to reconcile departmental records.
  • Grammar, editing, and proofreading skills to compose and prepare business correspondence, forms, and reports with attention to detail.
  • Interpersonal, customer service and communication skills to communicate and interact in a clear and professional manner with individuals from diverse background and perspectives including faculty, staff, students, visiting scholars, and the general public.
Preferred Qualifications
  • Experience using a University Campus Financial System.
  • Experience using UC Davis KFS, AggieTravel, AggieEnterprise.
  • Experience using Aggie Service Portal.
  • Knowledge of UC Davis policies, procedures, and processes relevant to financial, personnel/payroll and accounting activities.

Department OverviewThe Hart Interdisciplinary Programs Cluster is within the College of Letters and Science on the UC Davis campus. The cluster provides administrative support for the following units: African American and African Studies Department, American Studies Department, Asian American Studies Department, Chicana/o Studies Department, Native American Studies Department, and Gender, Sexuality, and Women's Studies Department. The cluster also provides support to the C.N. Gorman Museum, the Cultural Studies Graduate Group, and various research clusters. Works closely with the department chairs, CAO, faculty and other professional staff to assist in the business functions of units supported by the administrative cluster.POSITION INFORMATION
