Job Description:

Key Responsibilities:

1. Coordination and tracking of temporary worker schedules:

? Manage the organization of temporary worker schedules based on the company's needs.

? Ensure availability tracking of temporary workers and ensure an appropriate task distribution according to available assignments.

? Communication with temporary staffing agencies:

? Communicate staffing requirements (quantity, qualifications, hours, duration of assignments, etc.) to staffing agencies.

? Review and approve profiles submitted by agencies to ensure alignment with the job requirements.

? Entering worked hours:

? Enter daily work hours of temporary workers into the management system (time management software, ERP, etc.).

? Verify that the entered hours match the schedules and contracts of the temporary workers.

? Preparing attendance sheets:

? Prepare and verify the attendance sheets of temporary workers.

? Ensure that the information is complete, accurate, and in line with the working hours.

? Monitoring absences and tardiness:

? Track absences and tardiness of temporary workers and report anomalies to relevant supervisors.

? Take appropriate actions in case of unexpected absences and adjust schedules if necessary.

? Reporting and communication:

? Report on current and upcoming assignments to relevant managers and internal teams.

? Participate in meetings to review the organization of temporary workers and discuss future staffing needs.

? Monitoring Punch-In and Punch-Out Accuracy

? Daily Monitoring: Ensure that all temporary workers accurately punch in and punch out according to their scheduled shifts.

? System Checks: Regularly review the attendance system for discrepancies or missing clock-ins/clock-outs.

? Error Resolution: Address any issues promptly (e.g., missed punches, early clock-outs, or late clock-ins) and ensure corrections are made in the system.

? Report Abnormalities: Identify and report any abnormal patterns or events (such as excessive tardiness, early departures, or non-compliance with the schedule) to the relevant supervisors or managers.

? Take Corrective Action: Implement corrective measures when necessary, such as adjusting schedules or addressing ongoing issues with individual workers.

? Ensure Compliance: Verify that all punch-ins and punch-outs align with company policies and contractual agreements with temporary workers.1. Education and Experience

Education: High school diploma required; a degree in Business Administration or related field is a plus.

Experience:

At least 2 years of experience in an administrative or coordination role, preferably involving workforce scheduling or temporary staffing.

Familiarity with time management systems (e.g., ERP software) is highly desirable.

2. Skills and Competencies

Organizational Skills:

Ability to manage schedules, track availability, and distribute tasks efficiently.

Attention to Detail:

High level of accuracy in data entry, preparing attendance sheets, and resolving timekeeping discrepancies.

Communication Skills:

Strong written and verbal communication skills to liaise effectively with staffing agencies and internal teams.

Problem-Solving Abilities:

Proactive in addressing absences, tardiness, and system discrepancies.

Time Management:

Ability to prioritize tasks and meet deadlines in a dynamic work environment.

3. Technical Proficiency

Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Experience with time-tracking software or ERP systems is a strong advantage.

Adaptability: Comfortable handling last-minute changes to schedules or unexpected staffing challenges.
