This position is responsible for efficient administrative and field operations, ensuring smooth project execution and exceptional customer service.Essential Duties and ResponsibilitiesThe following statements describe the principal functions of this position and the scope of responsibility, but should not be considered an all-inclusive listing of work requirements. - Administrative Support: Manage and update project documentation, including plans, status reports, and purchase orders. Coordinate scheduling for team walks, sign-offs, and warranty inspections.
- Customer Relations: Build and maintain strong relationships with homeowners, contractors, and vendors. Resolve customer inquiries and issues promptly and professionally.
- Data Management: Accurately input and maintain data in NewStar and other relevant systems. Prepare reports and analysis as needed.
- Operational Support: Order supplies, coordinate logistics, and assist with special projects as assigned.
Additional Responsibilities:
- Establishes and maintains regular and proactive communication with internal and external customers
- Prints plans, documents, and window signage for field staff
- Responsible for updating status report daily; Under construction to close
- Review and confirm NewStar schedules are currently during status updates; weekly
- Update pre-construction tasks in NewStar
- Review and enter data on completed purchase orders (VPOs) in NewStar for weekly payout
- Review new start plans to verify selections/options match
- Responsible for initiating water meter tasks for field staff
- Collaborate with Production Manager to provide closing dates to sales admin and schedule Team Walk and Sign Off dates via calendar invites
- Assigns and schedule warranty representatives to homes in warranty
- Entering new set closings for Maverick and creating homeowner folders
- Creating Sign Off sheets for warranty reps; monthly
- Maintaining daily internal Excel sheets for tracking on team walks, sign off's, pre-closing orientations, and home deliveries
- Maintaining closing reports for any changes to pre-closing orientations, home deliveries, and or warranty representatives
- Processes homeowner reimbursement requests
- Assigning all homes in NewStar Enterprise Warranty Manager to the correct warranty representative at time of closing
- Submitting all completed tasks and paperwork to the Production Management team for field staff tracking purposes
- Orders necessary supplies for the office and the employee supplies
- Maintains administrative data in NSE & homeowner lot files
- Facilitates special projects as needed
- Performs all duties in adherence to Company standards
- Strives to maintain a safe working environment through the prevention of accidents, the preservation of equipment, and the achievement of safe working practices
- Maintains a positive and professional demeanor toward all residents, visitors, and co-workers
- Performs other duties as assigned
Qualifications (Education, Experience, Technical Skills)Education and Experience:
- High School Diploma or equivalent required, Bachelor's Degree preferred
- Previous customer service experience and training required
- Experience working with associations or other regulated organizations preferred
Skills and Knowledge:
- Must be able to read, write, and understand English with excellent written and verbal business communication skills
- Proven customer service experience.
- Proficiency in Microsoft Office Suite.
- Attention to detail and ability to multitask.
- Bilingual (Spanish) a plus.
- Typing 50+ wpm
- Strong conflict-resolution and problem-solving skills
- Must be detail-oriented and possess strong organizational and time management skills
- Must be able to build and function within a team environment
- Strong humanistic skills, initiative, good judgment, listening skills, and the ability to express thoughts clearly and simply are essential
