JOB SUMMARYThe Camp Office Manager makes the behind-the-scenes operations of Camp Wabansi work smoothly so that campers and counselors can experience the magic of summer camp!
This position is seasonal (June-August, Monday-Friday)Pay for this role is $600/week.ESSENTIAL FUNCTIONS - Monitor the camp phone and camp email, relay information to applicable parties
- Assist parents with online registration
- Collect mail from mailbox
- Put together bus/camp rosters
- Assign cabin groups by age/gender
- Manage bus boxes
- Updated bus rosters
- Printed medical forms for each camper
- Blank forms (medication, medication authorization, special notes, etc.)
- Overnight, tie-dye, camp store money
- Take attendance over radio from counselors each morning, update attendance sheet throughout the day
- Update and send an informational/reminder email to parents of campers registered for the following week each Thursday
- Update and print out parent letters each Monday afternoon
- Collect filled out parent letters from bus boxes to manage spreadsheet (overnight campers, Friday Finale RSVPs)
- Manage camp store money spreadsheet for each camper
- Balance camp store cash box, complete cash reports, and coordinate deposits of cash and checks downtown
- Order ice cream for camp store from Birdseye Foods (delivers to camp)
- Order bulk food items from Badger Foods (delivers to camp)
- Assist Camp Director with marketing efforts including website updates, social media, and special events
- Assist with camp programs and operations when needed
- Maintain confidentiality of camper and financial records and other personal information.
- Maintain accurate camp inventories including office supplies, food, housekeeping, and camp store products.
- Foster positive relationships with campers and other staff while exemplifying the YMCA core values of CARING, HONESTY, RESPECT and RESPONSIBILITY.
- Attend and contribute to all staff trainings, meetings, and events.
- Maintain a professional appearance and be prepared to make all parents, families, and campers feel comfortable with all questions answered.
- Maintain a safe environment for all campers. In the event of an emergency, serve as a first responder (responding, reporting, and preventing).
- Act according to facility protocol to ensure safety of all staff and children which includes:
- Adhere to policies related to boundaries with staff and children.
- Attend required abuse risk management training.
- Report suspicious and inappropriate behaviors and policy violations.
- Follow mandated abuse reporting requirements.
SKILLS AND TRAINING - Must be at least 18 years of age (High school diploma, GED, or equivalent required).
- Demonstrated experience with Microsoft Office (Excel and Word), office equipment, and cash-handling are required. Experience working in an office or customer service environment is preferred.
- Requires excellent customer service skills, friendliness, communication skills, strong organizational skills, and attention to detail.
- The ability to independently prioritize workloads to meet timelines is essential.
- Flexibility, a sincere care for children, and a team player attitude are necessary.
- This position requires considerable walking, bending, and lifting of at least 30 pounds.
- CPR/AED and First Aid certifications required; training provided.

Pay Range: $600 per week
