Position Title: Campus Receptionist & Assistant Registrar (Part-Time) Department: Business Office Reports to: Head of School FLSA Status: Hourly Hourly Range: $21.00 - $24.00 per hour POSITION SUMMARY The Campus Receptionist & Assistant Registrar is responsible for general front office management, immunization record keeping, and is a key player in supporting MCS faculty, students, and other staff. They also serve as a liaison between MCS, and parents, and other outside parties. ESSENTIAL DUTIES AND RESPONSIBILITIES Campus Receptionist & Registrar Duties •Greets all campus visitors including students, parents, and other guests; •Manages incoming office phone calls and voicemails, directing them as necessary to departments, staff or students; •Follows security and safety protocol when checking in school visitors; •Maintains a clean and orderly front office area for staff and guests; •Supports the Director of Operations in student immunization recordkeeping and auditing; •Ensures immunization records are up to date and accurate; •Forwards records to other schools as needed as students leave MCS; and •Maintains cumulative files and other school information. Administration and Faculty Support •Support teachers and staff in communicating with parents as needed; •Tracks student attendance using MCS' information attendance system; •Administers late slips to students as needed; •Distributes attendance reports to administration, highlighting any attendance concerns; •Reaches out to parents if a student's absence has not been reported; •Maintains the substitute teacher contact list and calendar; •Arranges and schedules substitute teacher coverage as needed; •Liaises between substitute teachers and school administration; •Assists Administration in event planning throughout the year; and •General front office support task. Student Support •Assists students who are sent to the health station; •Manages inventory of school health supplies; •Maintains student health station records, including tracking medications; •Recruits 4th grade parents to serve in planning committee for 5th Grade Promotions; and •Coordinates with photographers in preparation for school picture day. Administrative Assistant Duties •Arranges service calls for copy machine repair as needed; •Manages compliance documents including safety drill records and health department files; •Manages MCS' voicemail system; and •Tracks and manages facility work requests. QUALIFICATIONS MCS Employees must demonstrate the ability to follow policies and procedures as established in the School's Employee Handbook. WORK EXPERIENCE •Experience working with computer and phone systems; •Front desk experience; •Familiar with school registration, admissions, and management policies; and •Knowledge of federal and state policies and statutes. KEY SKILLS SET •Ability to multitask and perform under pressure; •Comfortable with event coordination and planning; •Excellent customer service skills; •Must exhibit a high level of confidentiality; •Excellent written and oral communication skills; •Strong organizational, time-management, and problem-solving skills; •Detail oriented; and •Team player. EQUIPMENT AND APPLICATIONS •High proficiency of Google Workplace and other Educational Software; and •Comfortable working with computers, Interactive Boards, and other classroom technology.
