Front office & Attendance Secretary POSITION QUALIFICATIONS:
- High School Diploma or equivalent required, some college courses preferred.
- Prior clerical experience is preferred.
- Bilinqual Spanish/English preferred
DUTIES AND RESPONSIBILITIES: STUDENT ATTENDANCE
- Maintains attendance letters and communication with parents, with guidance from Dean of Students.
- Processes and maintains daily student attendance records and calls parents to verify absences
RECEPTION
- Greets visitors who arrive at school, providing requested information or directing visitors to staff to assist them.
- Assists in maintaining documents, files and records for the purpose of providing up-to-date reference for students, families and staff.
- Assist parents in checking students in and out of school.
- Receive, sort, and distribute mail, messages, documents, and other deliveries.
- Maintains automated (and manual) student records, such as attendance rosters, class lists and other necessary reports.
- Provide clerical assistance as needed.
- Maintain confidentiality.
- Accepts payments for shirts, aftercare, field trips and other campus needs.
- Assists with answering telephone calls and provides information and assistance to callers (including food services.)
- Provides information and assistance to new students and their parents. Forwards documents to district registrar, as needed.
ADMINISTRATIVE ASSISTANCE
- Assists in distributing incoming campus mail appropriately.
- Assists in maintaining campus inventories of office supplies and materials for the purpose of ensuring items' availability.
- Assists with the copying and distribution of documents and other materials (e.g., correspondence, bulletins, and reports) for administrative, instructional and clerical staff.
- Prepares and mails report cards by grading periods
- Other support as needed to the school administrator.
Mental Demands/Physical Demands/Environmental Factors:
- Maintain emotional control under stress; work with frequent interruptions. Continuous sitting.
