Position Overview Working closely with Executive Leadership and the Buildings Manager, the Capital Projects Manager supports the planning and implementation of capital projects through a range of administrative responsibilities. Collaborates with staff and consultants to create and monitor plans, budgets, and schedules for capital projects; manages associated files, paperwork, and correspondence; and ensures effective and timely communication across the Museum and with outside stakeholders. Essential ResponsibilitiesProject Coordination

  • Collaborates with consultants and key stakeholders to create project plans and deadlines for a portfolio of 10-25 small to mid-size projects, monitoring them to avoid conflicts, maximize efficiency, and minimize disruption to regular operations.
  • Effectively communicates tasks within project team and beyond; monitors task progress and risks.
  • Solicits bids and develops and tracks budgets.
  • Facilitates internal review and approval processes.
  • Proactively communicates and facilitates the distribution of information across the Museum and to external partners.
Communication & Document Control
  • Handles scheduling, agendas, task assignments, notes, and minutes for the construction partners as well as both Board and Staff committees.
  • Prepares correspondence and manages documents related to capital projects, including RFPs, contracts, and collateral materials.
  • Ensures files and documents are properly organized, stored, labeled, and accessible at all times.
  • Maintains confidentiality and grants access to documents as appropriate.
  • Maintains prompt and reliable attendance in order to successfully perform the duties of the job.
Requirements Equivalent Education/Experience
  • Bachelor's degree in relevant field
  • At least 5 years of related experience in a professional setting
Knowledge/Skill/Ability
  • Previous experience in construction administration, architecture, project management, or a related area
  • Exceptional communication and interpersonal skills
  • Ability to read blueprints and technical documents
  • Excellent attention to detail and accuracy
  • Highly organized, flexible, and able to prioritize effectively in a fast-paced environment
  • Able to work independently and as part of a team; enjoys working collaboratively
  • Strong computer skills, with proficiency in MS365, digital imaging, and project management software

Schedule Information:
  • 9:00am - 5:00pm in office Monday through Friday (with occasional evenings and weekend hours as needed)
