The position requires intrinsic motivation in a fluid, high-stakes, low-oversight work environment. The individual in this position should have strong organizational, financial, and writing skills and know how to multi-task, prioritize and anticipate/act on needs before being asked. Major Responsibilities Include:
- Perform computer-related operations (creating, composing, editing, printing, saving, and retrieving computer-generated documents, data management, creating tables, merging files, using electronic mail and maintaining calendar in Outlook).
- Attend Science Coalition meetings as needed.
- Research best pricing for materials acquisition.
- Maintain financial documents in the First State Financial System.
- Prepare financial documents, which include processing and maintaining purchase orders, invoices, payment vouchers, and reconciliations.
- Assist with maintaining the budget.
Essential Qualifications and Skills Education: High School Diploma or GED required. Some college coursework preferred. Experience:
- Secretarial/administrative support experience.
- Experience with First State Financials (FSF) preferred.
- Proficient in Microsoft Software to include Word, Excel, Outlook, PowerPoint, Google Suite, One Drive, SharePoint, and Teams.
Skills:
- Knowledge of inventory management and purchasing principles.
- Knowledge of principles, practices and procedures of administration and office management, including knowledge of keyboard operations, document formatting, grammar, punctuation, and spelling.
- Skill in collecting, compiling, evaluating, and analyzing information from a variety of sources.
- Must have excellent communication skills, handling questions and concerns with speed and professionalism.
- Skill in basic accounting procedures
- Ability to thrive in a fast-paced environment focused on serving others.
- Ability to multi-task without sacrificing quality of work.
- Ability to prioritize a wide range of tasks with competing deadlines.
- Must have excellent interpersonal skills and the ability to deal with staff in a tactful, congenial, and personal manner.

Salary: Salary will be computed in accordance with the education, experience, and training of the individual selected and in accordance with salary schedules for employees of the Department of Education. Direct deposit of payroll checks is a condition of state employment, and employees are paid on a lag pay schedule with the first payment made after approximately one month of employment. Notes: Casual/seasonal employment is offered to assist agencies on a temporary basis and the duration of employment is determined by the needs of the agency, available funding and job performance.
