Overview The main job function of the Catering Event Manager (CEM) is to ensure that all events run as planned. The CEM will focus on planning Catering events that have been turned over from the Catering Sales team but will also be asked to plan Group events as deemed necessary by the Director of Meetings and Events (DOME). The CEM shall strive to provide exceptional service to both internal and external guests at all times. S/he will be responsible for exemplifying the La Cantera Resort and Spa Culture as well as promoting the resort as both the Destination and Employer of Choice. ESSENTIAL JOB FUNCTIONS:
  • Responsible for all aspects of Event Planning.
  • Develop and maintain interdepartmental relationships.
  • Review signed turnovers and contracts and ensure information is correctly blocked/reserved in Delphi.
  • Understand the intent of a client's meeting/event, and partner with client to achieve this goal.
  • Identify any upsell opportunities and offer client additional experiences/locations as appropriate.
  • Create Banquet Event Orders (BEOs) with appropriate details. These details include, but are not limited to:
    • Time
    • Location
    • Guest Expected
    • Guest Guarantee
    • Guest Set
    • Food Offerings
    • Food Timing
    • Bar Offering
    • Allergy Restrictions
    • Pricing
    • On-Site Client Name and Contact Information
  • Assign appropriate meeting rooms based on the needs of clients.
  • Review Contract and ensure appropriate deadlines/concessions are followed. These include but are not limited to:
    • Deposit Schedule
    • Attrition Requirements
    • Applicable F+B discounts
    • Applicable waived/discounted Room Rental
    • Waived/discounted Server/Bartender/Setup fees
    • Room Blocks
      • Communicate with Group Rooms Coordinator as necessary.
      • Provide client reminder prior to releasing any unreserved rooms.
    • Inform clients if they are at any point in attrition. Provide alternative means to achieve contracted F+B minimums, explore room upgrades as applicable.
  • Provide client with most up to date Estimate after all details are provided.
    • Catering Sales Manager (s) will have provided the client with an estimate prior to contracting.
    • CEM will be required to provide 2nd estimate once BEOs have been completed to ensure client is aware of expected cost.
  • Provide client with diagrams as necessary. Diagrams are not required for all events, unless requested by the client.
  • Coordinate and communicate with additional departments to execute event.

  • Establish rapport with meeting planners while promoting hotel facilities and services.
  • Conduct event planning site visits.
  • Plan and conduct pre & post-convention meetings with clients and applicable departments upon client request.
  • Broaden productive client base and increase awareness of hotel.
  • Maintain up to date and knowledgeable of the Resort's activities to keep clients informed.
  • Keep abreast of market trends, competitor's activities and guest/client feedback.
  • Respond in a timely manner to client requests and respond in-kind.
    • Client email request requires an email response.
    • Client phone call request requires a phone call response.
  • Attend, participate and/or lead pre-convention meetings as deemed necessary or directed by the DOME.
  • Greet client upon day of event to ensure all aspects are in line with the planning timeline.
  • Understand room types, rate and codes.
  • Maintain complete knowledge of and comply with all departmental policies/service procedures/standards.
  • Anticipate guests' needs, respond promptly and acknowledge all guests, however busy and whatever time of day.
  • Maintain positive guest relations at all times.
  • Ensure active and accurate email is on file for Revinate Guest Satisfaction Survey to be sent after the conclusion of the meeting/event.
  • Access all functions of computer.
  • Document all guest requests/complaints and communicate such to respective personnel for proper handling. Follow up on guest satisfaction.
  • Maintain confidentiality and security of specified hotel information, correspondence, reports and files.
  • Adhere to internal deadlines regarding guarantees, menu changes, discounts, etc.
Qualifications
  • High school diploma required.
  • College degree preferred.
  • Minimum 3 year's experience as an Event Manager in a Resort/Hotel setting is preferred
  • CMP Certification preferred.
  • 2 year's experience planning social events preferred. (Weddings, Birthday Parties, Retirement Celebrations, Engagement Parties, etc.)
