The Eligibility List created will be used to fill future vacancies over the next six (6) months. DEFINITION Under the supervision of the HAA Human Services Manager (CDBG Unit), and in partnership with the HAA management team, this position assists with the compliance administration of multiple programs funded by the federal U. S. Department of Housing and Urban Development (HUD) and the State of Wisconsin via grant award processes by conducting environmental reviews, servicing loans funded by CDBG/HOME dollars, and contract funding/packaging/routing functions for the division. In addition, supports the Housing Stability Unit with administrative tasks related to the administration of division-funded programs. EXAMPLES OF DUTIES Conducts environmental reviews, services loans funded by CDBG/HOME dollars, processes invoices, and packages and routes contracts developed by program specialists. Coordinates responses to calls and correspondence received by the HAA Division, and information requests for contracted agencies and with other county departments. Assists with community meeting/staff meeting logistics. Conducts additional special projects and project management support as assigned by the HAA management team. Provides administrative support for HAA commissions and committees in partnership with HAA staff. Education, Experience & Special RequirementsEducation, Training and Experience: Any combination of education, training, and experience equivalent to a High School Diploma/GED and five (5) years of varied office experience. Additional credit will be awarded for an Administrative Assistant Associate's degree, two (2) years of post-secondary education, and/or marketing experience. Individuals who meet the minimum qualifications must also pass a Microsoft Word and Excel test with 70% accuracy. (Current Clerk/Clerk Typist III does not have to test. Employees who have been in a Clerk III position prior to 8/6/17 will have to test.) Strongly Desired Competencies: Experience handling public inquiries. Understanding of social media and experience working with websites and IT professionals. Project management skills. Responds well under pressure with strict time limits and multiple deadlines. Individuals are required to make reasonable decisions and take action within their scope of duties with minimal input from their supervisor. Exceptional customer service skills - polite, respectful, timely, humble, and a reverence for the public/stakeholders. Familiarity with HUD systems (IDIS/HEROS), MUNIS, Canva or other graphics media generating platforms, and/or any loan servicing software. Special Requirements: Must have a valid driver's license or access to reliable personal transportation or equivalent. Availability to attend monthly evening meetings is required. Certifications: The ability to serve as a Notary Public. If the applicant does not already have this certification, it can be achieved after hiring. Knowledge of basic office machines (e.g., copiers, printers, faxes, transcription equipment). Excellent interpersonal, written, and verbal communication skills. Undesirable Hours Premium Pay: Employees may receive undesirable hours pay of $2.00 for anytime worked between 6:00 p.m. and 6:00 a.m and for anytime on Saturday and/or Sunday.
