LOCATION: Central Office REPORTS TO: CSFO and Human Resources Director FLSA STATUS: Non-Exempt JOB GOAL: To enhance the administration of the district's affairs by efficiently and effectively performing clerical functions and assistance to support departments within the school system's Central Office TERMS: 240-day appointment compensated in accordance with the Board-approved salary schedule QUALIFICATIONS:
  • High school diploma or equivalent; Associate degree or higher, or comparable post-secondary training in secretarial services preferred.
  • Ability to meet the suitability criteria for employment and/or certification licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.
  • Excellent public relations skills.
  • Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups.
  • Demonstrated proficiency in oral and written communication skills.
  • Ability to work independently, prioritize tasks, and perform assignments as directed with accuracy, attention to detail, and within established timeframes.
  • Knowledge of computer network operations, data entry, and retrieval using technology.
  • Expertise in Google Applications, Windows, and Microsoft Office Programs: Excel, Word, Access, or other comparable or similar software
  • Ability to use technology to communicate, manage data, and produce/submit required reports, correspondence, and other information.
  • Ability to remain calm and use good judgment in emergency situations.
  • Ability to exercise tact, courtesy, and initiative in dealing with other staff and the public.
  • Ability to organize and maintain accurate records.
  • Possess and demonstrate high ethical standards, accountability, and integrity.
  • Ability to use technology to communicate, manage data, and produce/submit required reports, correspondence, and other information.
  • Ability to engage in prolonged sitting.
  • Ability to be punctual and in regular attendance.
  • Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced work environment.
  • Ability to read small print, view computer screens for prolonged periods, hear and speak to exchange information with a level of proficiency and volume to be understood over a telephone and in face-to-face public contacts.

  • PERFORMANCE RESPONSIBILITIES:
  • Demonstrates support for the school system and its vision, goals, and priorities.
  • Maintains confidentiality of school system business, its staff, and its students.
  • Provides excellent customer service.
  • Demonstrates and models regular and predictable attendance.
  • Serves as a secretary in support of assigned administrative functions; receives, screens and routes telephone calls; takes, retrieves and relays messages as needed; schedules and arranges appointments, conferences, meetings, and other events.
  • Receives visitors, including administrators, staff, parents, and the public; aids or directs to appropriate staff; responds to inquiries and provides information and assistance related to district operations, activities, standards requirements, timelines, policies, and procedures.
  • Communicates with staff, parents, outside organizations, and the public to exchange information and resolve issues or concerns; requests, verifies, and provides documents and information as needed.
  • Compiles information and prepares and maintains a variety of records, logs, files, and reports related to department business.
  • Establishes and maintains filing systems and reviews, revises, verifies, and proofreads a variety of documents.
  • Composes independently, from oral instructions, notes, or rough drafts, and from a variety of materials such as interoffice communications, forms, letters, memoranda, fliers, bulletins, and agenda items. Requests, work orders, and other materials.
  • Inputs and updates a variety of data in assigned computer systems.
  • Establishes and maintains automated records and files, initiates queries, develops spreadsheets, and generates various computerized lists, documents, and reports.
  • Inputs accuracy of input and output data.
  • Operates a variety of office equipment such as a calculator, copier, computer, and assigned computer programs.
  • Arranges for technical support, servicing, and effective operations of office technology and office machines assigned.
  • Performs duties and represents the school system in a courteous, positive, and professional manner.
  • Models and maintains high ethical standards.
  • Ability and willingness to work in a highly demanding, stressful environment.
  • May receive, sort, and distribute departmental mail as assigned.
  • Processes conference requests and related paperwork and arrange travel reservations, if assigned.
  • Demonstrates initiative in the performance of assigned responsibilities; uses time wisely; works efficiently.
  • Maintains expertise in assigned areas to fulfill project goals and objectives.
  • Participates successfully in the training programs offered to increase skill and proficiency related to assignments.
  • Keeps supervisor informed of potential problems or unusual events.
  • Exhibits interpersonal skills to work as an effective team member.
  • Demonstrates initiative in identifying potential problems or opportunities for improvement.
  • Reports potential problems, unusual events, or work irregularities to appropriate administrative or supervisory personnel.
  • Responds to inquiries, requests, constructive feedback, concerns and/or complaints in a timely and positive manner.
  • Maintains and submits reports, records, and correspondence in a timely and accurate manner.
  • Properly uses and cares for equipment and material resources of the school system and effectively supervises and monitors others in the care, maintenance, and use of tools, equipment, and inventory.
  • Demonstrates support for the school system and its goals and priorities.
  • Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local regulations.
  • Reports absences and takes leave in accordance with Board policies and procedures.
  • Performs any other job-related duties as assigned by supervisors
