Job Summary

Working as a Citi Hospitality Centralized Reservation Agent will allow you the opportunity to work with GREAT people like yourself! The Citi Hospitality Centralized Reservation Agent will interact closely with the Firm's employees as a One-Stop Shop to reserve all rooms in managed space. In addition, to act as the liaison between the Firm's employees with the local teams and departments, including but not limited to catering, conference center, and audio visual to ensure a seamless booking process. In addition, to assist with ad hoc projects provided by the Conference Center Manager.

Essential Job Functions:

Responsibilities:

* Familiar with all managed space rooms and attributes at Firm's Head Quarters.

* Responding to numerous phone calls and emails with new meeting requests and special add-on information for existing meetings.

* Handling meeting room bookings, utilizing the reservation system (EMS) and focusing on the strategic assignment of meeting space so as to maximize utilization.

* Sending initial confirmations in connection with bookings and following up with Video Conference details prior to the event to confirm the current status of the meeting, the accuracy of participant counts, the need for special equipment, etc.

* Connecting and communicating to all relevant internal departments and subcontractors the specific needs of the client, both in advance of and during the course of meetings, including Audio Visual requirements, food and beverage requests, conference room set-ups, signage, distribution of materials, etc. for add-on

* Assisting with Bulk Beverage request via the Centralized hotline or email, including retrieving bill information and providing information to the Catering Manager.

* Carrying out daily call-arounds for next-day events, getting final confirmation of the meeting's time, number of participants for all Video Conference meetings.

* Knowledge and familiar with the CEMP policy, including NERF.

* Knowledge of obtaining correct approval and billing information for all expense related activity to include; food and beverage, equipment rentals, etc. Liaise the relevant departments to gather the information during the initial confirmation process.

* Entering complete cancellation details into the reservation system (EMS) confirming any meeting cancellations to the client by e-mail and applying cancellation charges as appropriate.

* Quickly identifying booking conflicts or potential booking conflicts, suggesting solutions and if not immediately resolved, discussing such conflicts with the Conference Center Manager and Senior Conference Coordinator.

Client Care

* Greet all clients via the phone and email promptly and within compliance of the standardize scripts.

* Proactively deal with inquiries and requests communicating with the relevant departments to ensure seamless execution of the event.

* Serve as a One-Stop Shop for clients with inquiry about the Firm's managed space amenities and services, including FAQs.

Long Description

* Communicate effectively with peers and the management team, displaying accuracy and attention to detail both in verbal and written communication.

* Maintain a strong awareness of business activity and communicate all updates with your team members.

* Liaise with all departments within the Citi Hospitality group to ensure smooth transition for the client's events.

* Communicate effectively with team members and pass on necessary information to colleagues that may arise during the escorting process.

* Communicate to the Conference Canter Managers about any new / ongoing / potential issues and complaints so that they are addressed accordingly. Follow this up promptly with a detailed email.

* Provide assistance according to business needs e.g. lunch cover, call-outs, and general support.

* Support the training of new associates and complete checklists accordingly.

* Take part in the cross-training program which covers all areas of the department, when available.

Personal Presentation and Responsibilities

* Maintain a professional, polite and considerate manner at all times.

* Adhere to uniform and presentation standards as per the dress policy.

* Discuss any training needs or requests with your Supervisor or Manager.

Working Environment

* Maintain a clear, presentable working area at all times and report all maintenance faults/hazards and cleaning requests to the appropriate personnel. Monitor progress to ensure issues are promptly rectified. Escalate to your Supervisor as necessary.

Policies and Procedures

* Adhere to the Company and the Firm's policies and procedures.

* Abide by all Security policies and procedures, including access restrictions, Fire and Life Safety information.

* Comply with the Centralized Reservation Standard Operating Procedures (SOP) Manual and keep up to date with new information issued. Familiarize yourself with the site-specific SOPs. Maintain SOPs as 'living' document.

* Answer the phone promptly and politely within three rings as needed.

* Provide comprehensive handovers for members of the next shift at shift changes as needed and ensure thorough review of such handovers at the start of the next shift.

Long Description

Qualifications:

* A genuine sense of hospitality, with a commitment to delivering the Platinum Service Standard in all aspects of the Hospitality function.

* Excellent oral and written communication skills.

* Excellent organizational skills, with the ability to work under pressure, prioritize, and ability to multitask.

* Strong computer skills and knowledge of office technology / equipment.

* A good understanding of greeting clientele and the special role of a Hospitality Ambassador within a corporate environment.

* Discreet, ethical and committed to maintaining a high degree of confidentiality.

* Act as a role model for new staff members and maintain a professional disposition at all times.

* Punctual, dependable and dedicated to achieving excellence, down to the smallest of details.

* Proficiency in computer software programs, including MS Office and EMS

* Requires professional demeanor with ability to use independent judgment to handle any customer services matters in satisfactory manner

Experience:

* Requires a minimum of two years' experience in hospitality services including reception, conference, event planning, five star hotels, airline industry, and concierge experience preferred. Some higher education or vocational training specializing in the hospitality industry desired. Good geographic knowledge of the surrounding area

Grooming:

* All team members must maintain a neat, clean and well-groomed appearance. Please note all associates will be issued specific uniform and dress code guidelines in accordance with company and client policies and procedures.
