Position Type: Administration/Chief Financial OfficerDate Posted: 9/24/2024Location: Olivia CampusClosing Date: Until filledDescription: To assist the Superintendent of Schools in performing the financial functions of the School District finance and process bi-monthly payroll. Work with District leaders to develop and improve effective internal control to safeguard assets, follow laws and grant requirements.Essential duties and Responsibilities: Assists Superintendent in preparation of expenditure/revenue budgets. Enter original budget and the revised budget, set up new codes as required. Maintain District accounting system and monitoring revenues, expenditures and receivables. Have a working knowledge of UFARS. Interprets state and federal funding regulations to ensure all revenues and expenditures are reported consistently (UFARS). Follow all grant requirements and legislative mandates. Receipt all incoming revenue, review, code and enter all deposits into the software system. Prepare invoices for receivables as required. Facilitates all local, state, federal financial compliance reports. Coordinates monthly bank reconciliation for the District. Maintain and monitor Positive Pay Bank program. Initiate wire transfers to cover payments/payroll. Monitor and track banking transactions in all bank accounts. Prepares all journal entries, review, approve and code purchase orders and all payments for District claims. Coordinate annual audit process, including preparation of audit information as requested by the auditor. Complete year-end processes and close grants. Assist staff/employees with questions or concerns regarding payroll, budgets, contracts or other related items. Maintain a working knowledge of all employment contracts as well as all business service contracts. Verify employment of current or past employees. Work with District leaders to develop and improve effective internal controls to safeguard assets, follow laws and grant requirements. Prepare monthly financial reports for the monthly meetings of the Board of Education. Maintain the financial spreadsheet for the student activity accounts, communicate with advisors regarding balances, and monitor for allowable expenditures. Coordinate School District elections for school board members or referendums. Have a strong understanding of the MEGS system, having the ability to create budgets, enter expenditures and draw grant funds for reimbursement. Annual Responsibilities: Annual District Audit, prepare 1099's, Fixed Asset Report, Transportation Report, assist the Superintendent with the Levy certification system, CTE estimated and actual expenditure reporting, communicate with non-public school for enrollment and funding information. Payroll Processing: Prepare, process and complete bi-monthly payroll for approximately 100 employees. Set up employees in the payroll system according to their employment contracts. Prepare contracts for new employees and meet with new employees to complete the onboarding payroll packet. Each payroll has a combination of timesheets to review and calculate, contract paid employees and additional hours submitted by employees based on employment contracts. Substitute employees are paid on a monthly basis. With each payroll initiate and complete state and federal tax deposits, pay insurance liabilities, pension deposits, tax sheltered annuity deposit, garnishments and other miscellaneous withholdings within legal requirements. Audit health, dental, life insurance, LTD insurance, HRA/VEBA for correct employee coverage. Assist the superintendent in the preparation and organization of the agendas and packets for board meetings.
