Job Description:
Primary Purpose:Ensure efficient operation of the Child Nutrition administrative office and provide clerical services for campus and administrative staff.Qualifications:Education/Certification:High School Diploma or GED Special Knowledge/Skills:Demonstrates high level of organizational skillsProficient in typing, and file managementDemonstrates effective communication, and interpersonal skills - written and oralHighly motivated and a team playerKnowledge of basic accounting principlesKnowledge of Child Nutrition regulations and guidelines, a plus, but not requiredAbility to use existing software systems to develop spreadsheets and databasesBilingual, a plus, but not requiredExperienceOne to three years operational or secretarial experience, preferably in public education environment.Major Responsibilities and Duties:General
Works with strict confidentialityExercises a high degree of professional appearanceAssists employees, parents, faculty, staff, and supervisors dailyReceives all incoming calls for the dept, takes precise messages, and routes them properlyProjects a positive attitude that is conducive with a service-oriented professionMakes routine decisions in accordance with established priorities and policiesAssists in managing department reporting with regards to Local, State, and Federal regulationsWorks closely with PEIMS personnel to update student information as it pertains to the deptPrepares instructional materials, meeting agendas and Child Nutrition communications as requestedProcesses and maintains all Free and Reduced meal applications in regards to determining eligibility, verifying information and gathering additional dataFinancialMaintains and tracks parent refunds requestsAssists with compiling data needed for annual budgets and helps maintain fiscal accountingProcesses and maintains all documentation for accounts payable and purchasing departmentsAcquires quotes for purchases over a certain threshold as required by district policyCash counting and bank depositsVerifies all bank deposits with Daily Sales ReportsUploads all cash receipts to our accounting system for each campus on a weekly basisCommunicates regularly with bank personnel, suppliers, and district office personnel to obtain or supply informationOperationalMaintains District Equipment list for all Child Nutrition areasInitiates and tacks work order requests for Caf Managers and departmentMaintains personnel records for department, as neededMaintains HR spreadsheet to track background checks and badge issuance for new hiresMaintains records for annual required training and certifications for Child Nutrition StaffDevelops new programs and procedures within own area of responsibility, as neededProvides input on new programs and procedures developed by supervisorsAssists with conducting on-site periodic audits of meals and salesSupervisory Responsibilities:NoneEquipment Used:Personal computer, laptop, printer, copier, fax machine, and calculatorWorking Conditions:Mental Demands/Physical Demands/Environmental Factors:Maintain emotional control under stress; work with frequent interruptions.
