Position Description: The Administrator will be at the hub of a busy congregation with over 300 active members. The role is responsible for ensuring and organizing the smooth and efficient functioning of church operations, including office procedures, facilities, schedules, purchasing, budgeting and payroll, either directly or through supervision of specified staff, volunteers and contractors. Job Duties:Administrative●Support administrative needs of the Minister and Officers of the Board of Trustees, the Ministry and Operations (MOT) and Stewardship Teams and, as the work schedule permits, other committees and teams. ●Negotiate, process and administer space rental contracts with outside parties; recruit, hire and train building hosts.●Managing communication internally and externally, including written, phone and in-person.●Coordinate and maintain calendar for all building use (both rental and church activities); ensure that spaces are available and ready for use as needed.●Maintain church documentation in accordance with best practices. Financial and Treasurer Support●Maintain member financial and other information in the banking database.●Support the Treasurer and Assistant Treasurer in management of incoming payments, bills and charitable donations including communications regarding pledging and end of year tax statements. ●Process payroll and deductions through ADP and monitor employee retirement eligibility and send reports to Treasurer.Human Resources●Collaborate with the Minister and Personnel Committee to ensure compliance with the Personnel Manual, church standards and policies, and federal and state employment laws and regulations.●Ensure the secure maintenance of accurate and up-to-date personnel records.●Oversee and administer the Church's benefits programs for all staff, in collaboration with the Personnel Committee. ●Secure and monitor timekeeping records of staff, including leave accumulations and benefits.Facilities Management●Manage the purchase and maintenance of office and maintenance supplies and equipment.●Supervise the sexton and custodial crew.●Collaborate with the Buildings and Grounds Team to ensure all routine inspections, maintenance, repair, and replacement of all Church property, including security system, cameras, and alarm and sprinkler systems.●Maintain appropriate insurance and file claims as needed. ●Manage building keys, access and security system.Communications and Technology●Manage data storage, the email system, church database, group email communication, website, and office and multimedia technology.QUALIFICATIONS:Education:●Associate's Degree or higher preferred; other candidates considered based on experienceExperience:●Three years of experience in congregational administration is preferred; applicants with similar or relevant experience such as business and/or office management are encouraged to apply.●Supervisory experience requiredRequired Skills:●Strong verbal and written communication skills●Strong organizational, time management and interpersonal skills Ability to prioritize tasks in a distracting environment and ability to meet deadlines●Ability to create and monitor budgets●Demonstrated ability to supervise, delegates effectively, and to utilize a collaborative management style.●Ability to relate to people of diverse backgrounds and experiences●Sensitivity to the fulfillment of mission and vision within a faith community; compatibility with Unitarian Universalist principles and values●Proficiency with Windows-based computers and productivity software, including word processing, spreadsheets, email and database management; Microsoft Office and Google Office products; Zoom; and websites.
