The Clerical Assistant will provide assistance to legal secretarial staff as well as attorneys and other New York Office departments.

Responsibilities:

Essential Functions:

  • Filing including LegalKey preparation for Records department
  • Minor document editing
  • Preparation of expense reports
  • Create and process new matter requests in C3
  • Photocopying and creating pdfs
  • Creation of labels
  • Assist with mailings and distributions
  • Answering telephones
  • Attorney time recording in InTapp
  • Assist with Visiting Attorney support
  • Assist with in-house conferences and events
  • Other projects and duties as assigned
  • Duties may vary for each assignment, floor or area of practice

Qualifications:

Education/Training/Certifications:

  • High School Diploma or equivalent required. An equivalent combination and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job

Professional Experience:

  • 1 year office experience preferred

Technical Skills:

  • Proficient in Microsoft Office products
  • Typing of 50 WPM
  • Basic grammar, punctuation and spelling skills
  • Bilingual a plus

Performance Traits:

  • Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
  • Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
  • Ability to work under pressure, meet deadlines with shifting priorities
  • Must be a self-starter with a high level of initiative
  • Strong customer service skills, able to anticipate needs and exercise independent judgment (for exempt roles, when applicable)
  • Strong attention to detail, organizational skills and the ability to handle multiple projects
  • Maintains confidentiality and exercises discretion
  • Exercises solid strategic thinking and problem-solving skills

Physical Requirements:

  • May require occasional lifting of up to 25 lbs.

The typical New York pay scale for this position is between $62,700 and $72,100, although the actual wage or salary could be lower or higher if the candidates education, experience, skills and internal pay alignment are different from those specified.
