Job DescriptionPurpose:Under the direction of the Program Director/Team Leaders/Assistant Coordinating Manager provides clerical support functions and insure the efficient and confidential operations of the Case Management Program/ACT teams on a daily basis.Specific Duties and Responsibilities:The Clerical Associate III is charged with and responsible for:•Check in/check out patients daily via Epic or currently used system.•Obtain Prior Authorizations for patients that require it.•Typing of memos accurately and taking minutes at Administrative meeting.•Submit reports to SPOA, DOHMH, OMH and other regulatory body as requested.•Answering phones within 4 rings in a courteous manner identifying the program and self.•Check patients' eligibility 1st and 15th of each month.•Interacting with patients who come on site - Case Managers may be in the field.•Maintaining statistics for the program accurately and timely.•Prepare new and follow-up admission packages and other paperwork as needed by the program.•Other clerical functions pertaining to the program as needed, such as arranging transportation, filing, maintaining supplies, metro cards, etc.•Access Psyckes/CAIRS/MAVEN for ACT patients and provide staff with printout.•Other duties may be assigned as needed by ACM/Program Director/Team Leader.•Is courteous, professional and helpful with colleagues, patients and public.•Is knowledgeable of hospital and departmental policies and procedures, and demonstrates the ability to perform duties in accordance.
Minimum Qualifications1. A high school diploma or its educational equivalent; and2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.
