Job Description:

* The Clerical Substitute positions are temporary assignments.

This is a generic posting for clerical substitute positions, such as administrative assistants (I-IV), guidance clerk, and second secretary positions. The purpose of these positions is to provide administrative assistance and operations support for school facilities and maintain an accurate accounting of the daily financial activities of the school by utilizing accounting practices established by the Finance Department. The person holding this position will also be expected to assist the building principal in activities that promote the efficient operation of the school building.

Administrative Assistants (I-IV)

Located at Central Office. The purpose of this position is to provide administrative and clerical support functions for non-instructional assignment area within the school district.

Guidance Clerk

The purpose of this position is to provide administrative and clerical support for the Guidance Counselor's office while providing excellent customer service to parents, staff, and students served by the guidance office.

Second Secretary

The purpose of this position is to provide administrative, clerical, and patron support to school building administrative offices.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

* Knowledge of administrative and clerical procedures and systems such as Outlook, Word, Excel, PowerPoint, Google Drive, managing records, designing forms, and other office procedures and terminology.

* Ability to communicate clearly orally and in written and electronic formats.

* Ability to problem-solve and think analytically while managing multiple tasks.

* Ability to prioritize work activities and meet predetermined deadlines.

* Ability to use basic math skills to add, subtract, divide and multiply.

* Ability to demonstrate patience and compassion when dealing with students and/or parents and their personal and education needs.

* Ability to develop and maintain effective working relations with staff members and patrons.

* Skill in organizing materials and information, electronically or physically, to allow for efficient retrieval.

* Knowledge of the principals and processes for providing excellent customer services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

* Ability to manage multiple projects and processes with a high degree of accuracy.

* Knowledge of Family Educational Rights Privacy Act (FERPA) regulations and how they may apply to sharing student information with various stakeholders who may be requesting information.

* Ability to organize and maintain important documents and files related to employee personnel both electronically and physically to allow for efficient retrieval.

* Ability to accurately enter and verify student information data.

* Knowledge of common administrative tools and processes such as copiers, fax machines, scanners, phone systems, and email

EDUCATION AND EXPERIENCE REQUIREMENTS:

Administrative Assistant:

* Minimum: Graduation from two-year business school; or High School Diploma/GED plus two years of general office experience or an equivalent combination of education and experience.

Guidance Clerk:

* Minimum: HS Diploma/GED and two years of administrative/office experience.

* Desirable: Associates Degree or comparable 2-year professional certificate and one year work experience as an administrative assistant in an education setting.

Second Secretary:

* High school graduation or equivalency required. Highly recommended a person in this position have an associate's degree or 60 college credit hours and at least three years experience working in a financial secretary/administrative assistant role within a school district.
